Overview:This role is a vital force behind the company's national presence - responsible for planning, executing, and analyzing trade shows, dealer events, regional demos, and co-op activations across the US. This dynamic role goes far beyond event logistics - it's about bringing the brand to life in the field.Key responsibilities:Event Planning & StrategyThis role works closely with the Marketing Manager and Communications Specialist in a collaborative team environment.Collaborate with the marketing team to develop and execute event strategies that align with sales goals and brand positioning.Plan, coordinate, and manage all aspects of trade shows, dealer events, regional shows, and Our/Dealer co-op demos.Support Territory Managers (TMs) at regional events, identifying needs, and maximizing local engagement.Coordinate event timelines, vendor logistics, shipping details, and internal communication to ensure seamless execution.Maintain consistency in brand presentation, messaging, and professionalism across all event touchpoints.Vendor & Dealer Logistics CoordinationResearch, negotiate, and secure contracts with booth companies, event venues, and service providers.Coordinate procurement of event materials, including booth structures, signage, promotional items, and marketing collateral.Coordinate fulfillment of dealer marketing materials working with TMs on needs of our dealers.Coordinate transportation and delivery of event assets, ensuring timely setup and teardown.Oversee dealer relationships for demo events, including sourcing tents, signs, flags, catering, porta potties, and necessary permits.Organize hotel accommodation and travel logistics for event personnel.Event Execution & Hands-On SupportServe as the on-site lead for trade shows, dealer events, and demos, ensuring all elements are properly executed.Oversee event staff and hired personnel, delegating responsibilities effectively.Assist with booth setup and teardown for smaller events when necessary.Support packing and logistics for trade show crates until a dedicated system is in place.Capture photos and videos of events using a mobile device and provide them to the communications specialist for filing and distribution across advertising platforms.Post-Event Analysis & ROI TrackingConduct post-event evaluations to measure success, collect feedback, and improve future events.Track leads and sales impact from trade shows and events, reporting on ROI starting six months post-event.Provide feedback and recommendations for event enhancements and marketing effectiveness.Maintain memberships with industry associations that host shows and events.If events are slow, focus on refining and improving processes, procedures, and optimizing the organization of event areas.Qualifications / Requirements3+ years of experience in event planning, marketing coordination, or a related field.Strong organizational and project management skills with attention to detail.Ability to manage multiple events simultaneously and work under tight deadlines.Excellent communication and interpersonal skills for vendor negotiations and team coordination.Experience with event budgeting, logistics, and vendor management.Familiarity with trade show planning, venue selection, and exhibit setup.Proficiency in Microsoft Office Suite and event management software.Experience in the Adobe Suite is a bonus but not mandatory.Willingness to travel frequently and work flexible hours, including evenings and weekends as needed. (Up to 50% travel)Ability to lift up to 50 lbs occasionally for event setup and teardown.
