Proposal Writer – Data Center

Reports to: Manager/Director of Sales Operations or Applications Engineering

Position Summary

We are seeking a Proposal Writer to support Virginia Transformer’s mission-critical data center business by creating tailored, customer-focused proposals. Based in Roanoke, VA, this role will collaborate with Account Managers (AMs), Service Sales (SSs), and Outside Sales Engineers (OSEs) to prepare accurate and compelling proposals that integrate both equipment and service offerings. The Proposal Writer will combine technical information, pricing, and service scope into clear, persuasive Statements of Work (SoWs) and quote packages.

Key Responsibilities

• Proposal Development
• Create and format tailored proposals that combine equipment specifications, service SoWs, and commercial terms.
• Ensure proposals reflect customer requirements, VT capabilities, and competitive differentiators.
• Draft consistent, accurate, and timely proposals that meet quality and brand standards.
• Partner with AMs, SSs, and OSEs to gather inputs for proposals.
• Coordinate with Applications Engineering, Contracts, and Service teams to incorporate technical, cost, and compliance details.
• Ensure all internal stakeholders are aligned on proposal content prior to submission.
• Content & Process Management
• Maintain templates, libraries, and standardized content to support efficiency and consistency.
• Track proposal deadlines, submittals, and revisions.
• Support continuous improvement of proposal processes, tools, and presentation standards.
• Customer Alignment
• Tailor proposals to highlight VT’s value in mission-critical data center applications.
• Present technical and service solutions in clear, customer-centric language.
• Ensure compliance with customer protocols, specifications, and RFP requirements.

Qualifications

• Bachelor’s degree in Business, Technical Writing, Communications, Engineering, or related field.
• 3–5 years of experience in proposal writing, sales support, or technical documentation, preferably in electrical equipment, engineering services, or data centers.
• Strong writing and editing skills with ability to translate technical details into customer-focused messaging.
• Experience working with cross-functional teams under tight deadlines.
• Proficiency in Microsoft Office; experience with proposal management tools is a plus.
• High attention to detail, organization, and document control.
