Overview
Insight Global is seeking a dynamic, detail-oriented Event Coordinator to manage all aspects of event planning and execution for a rapidly growing ag-tech company. This individual will oversee a diverse portfolio of events—ranging from bull sales and cattlemen’s conventions to university engagements and ranch rodeos, while working closely with internal teams and external partners to maintain brand consistency and drive meaningful industry engagement.
Experience and Skills
- Bachelor’s degree in Event Management, Marketing, Communications, or related field preferred.
- 3+ years of experience in event coordination or related roles; agriculture or tech industry experience a strong plus.
- Proven ability to manage multiple projects under tight timelines.
- Strong negotiation skills and vendor management experience.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office, Google Workspace, and project management tools
- Willingness to travel as needed (approximately 20–30% travel)
- High attention to detail and proactive problem-solving skills.
- Passion for building relationships and delivering impactful brand experiences.
Key Responsibilities
- Event Planning & Execution
- Plan, coordinate, and execute all events including but not limited to:
- Bull Sales, Ranch Rodeos and University events
- TSCRA, NCBA, and Cattlemen's Conventions
- Speaking engagements
- Receptions and special dinners
- Design and implement customized booth layouts. Ensure consistent branding and message alignment across all events and public appearances.
- Vendor & Sponsor Management
- Negotiate and manage sponsorship packages and pricing.
- Source and coordinate with vendors for venues, equipment rentals, catering, A/V needs, and decor.
- Serve as the main point of contact for all event-related vendors and contractors.
- Travel & Logistics
- Coordinate all travel, accommodations, and scheduling for a 20-person team attending events.
- Manage registration, itineraries, and on-site logistics for staff and stakeholders.
- Budget & Financial Oversight
- Create and manage event budgets, ensuring fiscal responsibility and ROI.
- Make strategic decisions on attendee lists, sponsorship investments, and cost-saving opportunities.
- Merchandise Management
- Oversee all in-house merchandise, inventory, and event-specific promo materials.
- Collaborate with the design team to develop branded items consistent with company identity.
- Team & Cross-Functional Collaboration
- Partner with graphic designers to maintain visual branding across all materials.
- Work cross-functionally with sales, marketing, and leadership to align event strategy with business goals.
