Media Services Administrative & Lending Center Coordinator
The Computing Services central IT department provides services that have a strategic impact on university goals. CMU's Computing Services department is searching for a Media Services Administrative & Lending Center Coordinator. This is an excellent opportunity for someone who thrives in an interesting and complicated work environment. This position is responsible for providing coordinating, administrative and secretarial/clerical assistance for specific programs and projects. Works closely with department head or business manager to ensure that project and/or program is run smoothly. May be the only support staff for a particular program/project area. Requires in-depth knowledge and understanding of the practices, policies and procedures of the particular area. Your core responsibilities will include: Conducts daily administrative tasks including creating and assigning tickets in the departmental web based ITSM tool (Service Now), processing order requests in Web Checkout application, fielding patron inquiries by phone and routing order requests, placing orders for pickup equipment in the web based departmental scheduling system and other various data entry tasks. Oversee daily operations of the Cohon University Center Lending Desk/Lockers. This includes demonstrating functionality of wireless microphones to patrons, preparing and processing AV equipment orders for pickups and preparing and processing AV order equipment returns. Produces Web Checkout reports, prepares invoices, and edits instructional documentation for processes and equipment. Other duties as assigned Drafts correspondence, promotional materials, articles, reports, etc. concerning program/project area for supervisor's signature and/or approval. Produces and assembles regular reports and summaries. Frequently required to respond directly to inquiries and requests regarding these reports. Prepares agendas, assembles data, sets up and coordinates arrangements for meetings, conferences, workshops, etc. Takes and distributes minutes. Gathers data and produces statistical and narrative reports for meetings. Provides general office management: setting up and maintaining complex filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, etc. Provides clerical/secretarial support for the program/project area. Coordinates various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements, etc. Provides in-depth information to faculty, staff, students, outside associates and the general public concerning particular programs and projects. Serves as initial contact and liaison, providing information/coordination via phone or in person for funding agencies or other outside associations. Provides general information regarding research and non-research contracts. Provides general information regarding undergraduate and graduate programs such as, advisors, admissions process, faculty contacts, required courses, etc. Serves as liaison with various campus departments including physical plant to insure building maintenance, work orders completion, etc. or Property Management to tag, track, etc. department equipment. A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered. Other duties as assigned.
