Overview

Position: Onsite Community Manager
Location: 8 Biltmore Condominium Association, a 3-story, 75-unit luxury condominium community located next to the historic Arizona Biltmore Hotel.
Reports to: Board of Directors.

Position Summary

Under the direction of the Board of Directors, the Onsite Community Manager is responsible for the daily business operations and management of the condominium association. The role enforces compliance with the Rules & Regulations, oversees the upkeep of common areas, and maintains cordial relationships with owners, tenants, contractors, vendors and employees. The position requires the ability to multi-task with focus, organization and professionalism, and serves as an integral part of the community leadership, advising the Board and creating social opportunities and events to support the community vision of 8 Biltmore Condominium Association.

Responsibilities

  • Oversee all administrative duties including negotiating contracts with third parties, supervising the administration and monitoring the performance of all work performed and services rendered.
  • Communicate with the Board on a weekly basis regarding issues involving the community, resident concerns, building operations, employee concerns or changes in personnel, status of units, market activity, residency status, new residents, and closings and pending units.
  • Maintain and enforce the Association's rules and regulations; maintain an accurate inventory of furniture, fixtures, equipment and replacement parts; prepare preventative maintenance schedules for the Board and provide updates when requested.
  • Submit work orders to Association vendors and service providers as needed.
  • Evaluate contract performance with vendors and service providers; coordinate and implement corrective actions as necessary, including contract termination when required.
  • Evaluate and approve completed projects with Association vendors and service providers.
  • Plan, budget, advertise, execute and attend Association events.
  • Partner with Human Resources for recruitment, interviews, hires, performance reviews and discharges of personnel.
  • Oversee Association financials including preparation of the annual budget and reserve budgeting; consult with the Board on expenditures exceeding thresholds; report budget variances and perform other budgeting duties as required.
  • Coordinate and facilitate annual Board of Directors meetings and other special meetings as required by policy and Arizona law.
  • Facilitate Association meetings by providing leadership and accurate information to the Board to support informed decisions.
  • Direct condominium operations by developing and implementing strategies and services aligned with the Association's needs and mission.
  • Adhere to best practices and respond to calls by the end of the next business day.
  • Maintain a proactive management approach, anticipate future needs, and plan reserve expenditures.
  • Perform or assist with operations to meet schedules and ensure safety in all work performed.
  • Handle or assist with special projects and related duties as assigned.

Knowledge, Skills And Abilities

  • Excellent interpersonal skills: outgoing, communicative, socially oriented, poised, effective in groups, articulate, persuasive in expression, strong public speaking ability.
  • Time management: ability to handle multiple tasks, set priorities, and meet deadlines.
  • Attention to detail and strong organizational skills.
  • Experience with HOA or similar environments involving knowledge and enforcement of Governing Documents.
  • Ability to function efficiently in a high-volume, fast-paced environment.
  • Proficiency with computer programs and company databases, including Microsoft Office, internet, and email systems.
  • Ability to interact positively with staff and residents at all levels; ability to work collaboratively within and across departments.

Physical Demands & Work Environment

  • Use of personal automobile for Association business as needed.
  • Walking communities to inspect common areas as per management contract.
  • Sitting and standing for moderate periods of time.
