Job Summary

Progressive Technology is seeking a dedicated and organized School Receptionist to manage front-desk responsibilities for one of our educational clients. This role serves as the first point of contact for parents, students, and visitors, ensuring smooth communication and accurate record maintenance in a school environment. The ideal candidate will be friendly, efficient, and professional, with a strong sense of confidentiality and the ability to handle multiple tasks in a fast-paced academic setting.

Key Responsibilities

  • Greet and assist parents, students, and visitors in a professional and courteous manner.
  • Manage incoming calls, emails, and messages, ensuring timely and appropriate responses.
  • Maintain student attendance records and update administrative databases regularly.
  • Schedule and coordinate parent-teacher meetings, school tours, and administrative appointments.
  • Handle daily correspondence, notices, and school circulars.
  • Maintain confidentiality of student and staff information.
  • Support school administrative staff with documentation and clerical tasks.
  • Handle inquiries regarding school policies, admissions, and general information.
  • Maintain an organized reception area that reflects the school's welcoming culture.
  • Assist with issuing ID cards, student records, certificates, and related documentation.

Required Skills and Qualifications

  • High school diploma or equivalent required; additional certification in office administration is a plus.
  • Excellent communication skills in English, both verbal and written.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic school management systems.
  • Strong organizational and multitasking abilities.
  • Friendly and professional demeanor with a customer service attitude.
  • Ability to remain calm and efficient under pressure.
  • Attention to detail and data accuracy.

Experience

  • Minimum 1–2 years of receptionist, front desk, or administrative support experience preferred.
  • Experience in a school, academic institution, or child-centric environment will be a strong advantage.
  • Freshers with excellent communication and administrative skills may also apply.

Working Hours

  • Monday to Friday: 8:00 AM to 4:00 PM
  • Occasional weekend events or meetings may require availability with prior notice.
  • Flexible work mode depending on school policy (Remote/On-site/Hybrid).

Knowledge, Skills, and Abilities

  • Knowledge of school administrative processes and etiquette.
  • Ability to handle sensitive student and family information discreetly.
  • Strong interpersonal and conflict-resolution skills.
  • Capable of working independently as well as in coordination with school staff.
  • Comfortable with digital record-keeping and online scheduling tools.
