Advertising Coordinator Job Description

The Newspaper Advertising Assistant supports the advertising department and the sales representatives they partner with in coordinating, preparing, and executing print and digital advertising campaigns. This role involves assisting clients, managing ad schedules, processing orders, tracking payments, and ensuring accurate placement and timely publication of advertisements.

Key Responsibilities

• Assist the advertising sales team with booking and scheduling advertisements in print and online editions.
• Prepare contracts, tear sheets, and other billing documentation for advertising clients.
• Communicate with clients to obtain artwork, copy, and approvals before publication deadlines.
• Coordinate with the production team to ensure ads meet specifications and are correctly placed.
• Assist in maintaining accurate advertising records, databases, and schedules.
• Support in the creation of promotional materials and sales presentations.
• Process payments, track invoices, and assist with basic accounting or reconciliation tasks related to ads.
• Assist in compiling advertising performance reports and campaign summaries.
• Perform other tasks as assigned by the sales manager to assist in other initiatives, such as digital printing transitions, revenue tracking, etc.

Qualifications

• High school diploma or equivalent (Bachelor’s degree in Marketing, Communications, or related field preferred).
• Previous experience in advertising, sales support, or media administration is an asset.
• Strong computer skills, including Microsoft Office and familiarity with ad booking or CRM software.
• Excellent written and verbal communication skills.
• Strong attention to detail and organizational abilities.
• Ability to manage multiple tasks and meet tight deadlines.
• Customer service–oriented attitude and professional demeanor.
