We are looking for a dynamic and highly organized Studio Manager to join our team! This individual will be at the heart of DE-YAN’s internal operations, ensuring that our office environment, team processes, and administrative systems run seamlessly and efficiently. You’ll support everything from facilities upkeep and tech maintenance to onboarding new team members and coordinating internal events.

You are the type of person who thrives on structure and logistics, yet can pivot quickly when needed. This role requires a strong attention to detail, the ability to manage multiple moving parts, and excellent communication skills across all departments. A passion for design, creativity, and collaborative teamwork is a must.

RESPONSIBILITIES

  • Manage day-to-day office upkeep to ensure shared spaces are clean, well-stocked, and functional
  • Manage repairs, liaise with building management and third-party vendors
  • Coordinate reorganizations, renovations, and cleanouts as needed
  • Own and manage onboarding and offboarding processes for full time employees
  • Act as primary liaison for IT support while managing device inventory and administrative platforms like Google Workspace, Slack and Apple Business Manager
  • Manage access and credentials for all SaaS subscriptions (creative software, admin tools, etc.)
  • Manage the studio calendar by maintaining time-off records (PTO, Sick Days, Holidays) and distributing weekly Out of Office Forecasts.
  • Partner with our EU studio on onboarding and global process improvements
  • Coordinate internal events, client meetings, and team celebrations.
  • Provide support for production logistics (shipping, couriers, load-ins/outs, material prep).
  • Conduct research and provide ad hoc administrative support as needed.

REQUIREMENTS

  • 2-5 years of experience in office management, operations, or administrative coordination.
  • Excellent communication and organizational skills with a high level of professionalism.
  • Strong project and time management skills; able to manage multiple deadlines simultaneously.
  • Tech-savvy with experience managing IT support, devices, and SaaS platforms.
  • Comfortable working independently while supporting multiple departments.
  • Highly collaborative, solutions-oriented, and able to adapt to a fast-moving creative culture.
  • An eye for operational excellence and a desire to create a smooth-running workplace.

Note: This is an on-site role, requiring 4 days per week in the office.
