Administrative Secretary

Performs routine secretarial and administrative duties. Job Function: Prepares a variety of routine documents, including newsletters, correspondence, reports, class material, exams, manuscripts, forms, purchase orders, lists, reimbursement requests, requisitions, etc. Maintains administrative files and/or records for the unit. Assists in maintaining a specific function of the department annual operating budget. This may include travel requisitions and expenses, invoices and requisition for supplies. Screens incoming calls and directs calls to the appropriate person or takes messages. Greets visitors, distributes office mail, schedules appointments, meetings, maintains calendar. Assists with coordinating catering for special events. Gathers information for supervisor's use in reports and presentations. During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off-campus location or place of residence. Create new CMS web pages, update existing pages; test/repair web pages for WCAG compliance; and upload accessible documents. Required Qualifications: High school diploma and 2+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Departmental Requirements: Computer skills in Microsoft Office, good organizational skills and the ability to work independently are essential. Ability to effectively manage multiple administrative tasks. Ability to form new procedures and analyze problems. Ability to communicate effectively, both orally and in writing. Must have a high degree of professionalism. Must have a commitment to and knowledge of office procedures and practices. Ability to accomplish sound mathematical processes. Ability to maintain effective communications with co-workers/general public. Ability to accomplish data entry, sorting, filing. Must be able to learn and use UNF computer systems. Willingness to make use of UNF training classes pertinent to Administrative Secretary duties. Statement(s) of Understanding: This position requires a background check.
