Overview : The University of Illinois Hospital & Health Sciences System (UI Health) provides comprehensive care, education, and research. This role is a front‑line ambulatory receptionist for the Mile Square Health Center network, responsible for patient and visitor triage, scheduling, registration, and clinic support.

Primary Function : Perform general reception duties, schedule appointments, register patients, monitor patient flow, and maintain a clean and safe environment.

Responsibilities

Review insurance eligibility and confirm active insurance in Epic Patient Access Management (PAM).

Monitor and respond to E‑Care Next worklist, resolve eligibility discrepancies, and update Epic PAM.

Schedule patients using Epic Scheduling System and register patients via PAM.

Make patient reminder calls and follow up on missed appointments.

Educate patients on the UI Health patient portal and assist with portal registration.

Contact insurance companies and case managers for treatment authorization, providing necessary documentation.

Provide financial counseling, including grant application assistance and sliding fee scale determinations.

Explain institutional billing/payment/insurance procedures and guidelines to new patients.

Collect co‑pays, deductibles, and fee assessments; record and scan payments in the relevant software.

Prepare daily receipt logs and cash reconciliation sheets; close out cash registers and payment systems.

Coordinate call intake, route calls and messages appropriately.

Respond to complex client inquiries and clarify departmental policies.

Facilitate new patient orientation and distribute related materials.

Log and route complaints; report to higher level personnel when needed.

Assist in primary research on complaints received.

Participate in quality improvement and corporate compliance teams.

Order supplies and attend staff meetings and registration forums.

Perform other related duties and special projects as assigned.

Minimum Qualifications

High school diploma or equivalent.

One year (12 months) of related experience in a medical office or comparable setting.

Experience in a healthcare facility involving record keeping, public interaction, telephone handling, and medical terminology.

Graduation from an accredited medical secretarial or paramedical program (e.g., nursing assistant, medical assistant, or medical secretary).

Preferred Qualifications

Bilingual (English/Spanish).
