Job Summary
Responsible for ensuring the efficient operation of the community under the direction of the Community Manager and to assume responsibility for the community in the Community Manager’s absence.
Essential Duties and Responsibilities
- Efficient and timely reporting, maintenance, and submission of all administrative forms, files and reports. Post rent to operational software and perform bookkeeping functions as necessary.
- Assist the Community Manager in orientation, training, and scheduling of all leasing and office personnel.
- Inspect models, office, and vacant units to ensure marketability. Maintain on‑site office organization and file records as required. Inspect all make‑readies.
- Maintain awareness of the community’s curb appeal.
- Shop competition regularly and be knowledgeable of their pricing, policies, lease terms, community terms, and other relevant factors.
- Lease to qualified prospects by showing available apartments. Assist with the lease renewal program, including initial contact and follow‑up with residents.
- Manage the inventory and ordering of all necessary administrative supplies and equipment for office staff.
- Present a professional appearance and behavior at all times, and ensure the same for all personnel.
- Apply leasing techniques and sales methods as outlined in the Leasing & Marketing Manual. Maintain thorough knowledge of current rental rates, unit sizes, locations, and community amenities.
- Demonstrate knowledge of Fair Housing Standards.
- Understand company policies and procedures comprehensively.
- Respond efficiently and courteously to all resident requests.
- Assist the Community Manager in designing and implementing resident retention programs, such as newsletters or social activities.
- Report any unusual or extraordinary circumstances regarding residents or the community.
- Operate within OSHA standards and company safety policies at all times.
- Pursue educational opportunities and self‑improvement for personal growth and development.
Supervisory Responsibilities
In the Community Manager’s absence, oversee community operations as directed.
Qualifications

Education and Experience
High school diploma or general education degree (GED); or one year related experience and/or training; or an equivalent combination of education and experience.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos; write simple correspondence; and effectively present information in one‑on‑one and small group situations to customers, residents, clients, and team members.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Training, Certificates, Licenses and Designations
Fair Housing certification must be completed within 1 day of hire. Prevention of Sexual Harassment, Workplace Harassment, and Drug‑Free Workplace courses must be completed within 7 days of hire.
Reasoning Ability
Use common sense to carry out detailed, but uncomplicated written or oral instructions. Handle problems involving a few concrete variables in standardized situations.
Certificates, Licenses, Registrations
Fair Housing Certification required within 1 day of hire.
Physical Demands
Regular use of hands to finger, handle, or feel; frequent standing, walking, sitting, and reaching. Occasional climbing or balancing; stooping, kneeling, crouching, or crawling. Occasional lifting and/or moving of up to 10 pounds. Vision requirements include close, distance, color, peripheral, and depth perception.
Work Environment
Frequent exposure to outdoor weather conditions. Moderate noise level.
