This role primarily involves technical event staffing, focusing on TV film technical roles, with potential staffing duties for concerts, corporate and trade shows, theatre, sporting events, and more. The work includes sourcing staff, handling all administrative details, and providing excellent internal and external customer service.
Essential Functions
- Depending on the venue, client and/or event, creates and submits detailed labor estimates based on the client’s requirements for number of persons by position and estimated number of hours and days required.
- Contacts lead personnel for their availability and pre‑confirmation when necessary.
- Utilizes client‑preferred crew lists when available; fills the balance of the crew with the most qualified employees available.
- Negotiates rates with crew to work within the budget of the show and achieve proper margins.
- Sends out crew confirmation (NOA) to crew members secured for each event.
- Provides on‑site supervision as needed, including monitoring daily sign‑ins, breaks, meals and premiums.
- Processes weekly payroll hours for crew members on events.
- Advises the client, sales, or project manager of contractual compliance requirements and the financial impact.
- Resolves crew issues, verifying requirements for each day, confirming availability, and adjusting staff size as needed.
- Provides timesheets, worker confirmation lists, new‑hire paperwork, workers’ compensation incident reports, and any other required documentation.
- Onboards new‑hire employees into the labor platform and ADP.
- Schedules and maintains all events requiring labor in the Lasso labor platform.
- Books all travel for event personnel as needed.
- Submits bi‑monthly credit‑card reconciliation travel reports to Accounting.
- Submits expense reports and per diem requests to AP; follows up when required.
- Requests POs for labor invoices and, once approved, submits to AP for payment and follows up when required.
- Attends weekly market meetings.
- Provides the salesperson or project manager with labor cost totals when necessary and finalizes show billing.
- Collects and correlates all required onboarding paperwork, safety and work certificates, and inputs them into the system as necessary.
- Learns and comprehends industry terminology.
- Corresponds with federal, state, and local agencies regarding employees when required.
- Uses computer applications and proprietary PRG systems (e.g., ADP) as needed.
- Works on the show site as needed, including evenings, weekends, and on‑call duties.
- Works with unions in various cities as required.
- Performs other incidental tasks as needed or assigned.

- Exceptional customer and communication skills; strong understanding of business goals and standards for customer service; knowledge or experience with negotiation.
- Proficient in Microsoft Office suite (Outlook, Excel, Word, SharePoint); ability to learn proprietary software.
- Demonstrated knowledge of Windows/MAC OS‑based environments.
- Good knowledge of common computer productivity tools and ability to operate standard office equipment.
- Strong knowledge of workplace safety principles and modern office procedures.

Physical Demands
- Remain in a stationary position for extended periods.

Travel Required
- Travel occasionally to on‑site systems and facilities.
- Valid driver’s license required.
Required Education And Experience
- Two years of experience supporting labor staffing in an entertainment environment.
- Must have Excel experience.
- Microsoft Word/Outlook knowledge.
- High school diploma or equivalency; college degree preferred.
- Knowledge of show staffing principles, accounting and payroll practices, and union crewing preferred.
- Excellent communication and negotiation skills.
- Ability to multitask and understand complex payroll information.
The pay range for this position is estimated to be $70,000 - $90,000.
