Overview Administrative Assistants role in the Division responsible for administrative tasks as well as design and website functions. The position includes duties as the Division's point of contact for design and website functions and acts as the HSC webmaster (training provided). The role requires familiarity with the University branding rules and regulations and may involve cross-coverage of other administrative duties within the Division.

Responsibilities

Track and organize faculty recruitment materials and hiring checklists.

Assist with preparing offer letters and memos using templates.

Support onboarding processes, including license and credential submissions.

Communicate with faculty, staff and University offices in a professional manner and act as Division liaison.

Manage Faculty Affairs processes (e.g., FARA, Tenure clock adjustments, TFR, CFR, faculty leave, reviews, parental leave tracking, appointments, renewals, terminations, CV updates).

Coordinate committees as assigned.

Maintain databases and spreadsheets to track progress on faculty appointments.

Assist with digital file management and scheduling tasks.

Assist with social media or Internet postings and create/maintain the division’s social media presence.

Act as HSC Webmaster for the OEH Division and complete required training; maintain internal and external websites (PULSE, intranet, and division sites).

Provide support for other Division-level projects and programs as needed.

Minimum Qualifications

Equivalency statement: 1 year of higher education can substitute for 1 year of directly related work experience (example: bachelor’s degree = 4 years of related work experience).

Administrative experience appropriate to the level (see below).

Job Levels

Administrative Assistants, I

— Requires little to no related experience.

Administrative Assistants, II

— Requires at least 1 year of related experience.

Preferences

Experience with DocuSign, Microsoft Planner, Adobe, Qualtrics or Canva.

Familiarity with academic or clinical environments.

Previous administrative, design, or website creation experience.

Ability to work independently while maintaining remote-work dynamics and team support.

Variable but generally within 8am–5pm; remote work possible with occasional in-person Division meetings/events in Salt Lake City, Utah. Reside in Utah required.
