Position Summary The Executive Coordinator for Communications and Advancement plays a pivotal role in ensuring the smooth and strategic functioning of the department. By supporting the organization through executive administration, donor relations, and project coordination, this position fosters alignment, efficiency, and excellence across all Communications and Advancement initiatives.
Responsibilities and Essential Duties
Executive/Administrative Support (30%)
Provide executive assistance to the Chief Communications and Advancement Officer. This includes calendar management, organizing meetings, coordinating travel and accommodation arrangements, preparing high quality documents, expense reports, letters, submissions, ministry reports and related material.
Assist with processing reports and correspondence in the manner that maintains the highest level of confidentiality.
Perform other duties as assigned.
Donor Relations (30%)
Coordinate the donor gratitude and acknowledgment process, ensuring timely and personalized communication with donors (including handwritten notes and mailings).
Respond to general Advancement inquiries with professionalism and care.
Support the development and distribution of donor communications such as gift acknowledgments, annual reports, appeals, newsletters, and updates.
Support the grant application process, including tracking submissions and coordinating supporting materials.
Project Coordination (30%)
Coordinate and schedule communications and production projects, ensuring timelines, deliverables, and priorities are clearly defined and met.
Collaborate with internal stakeholders to clarify project objectives, formats, and distribution plans, providing exceptional service and guidance throughout each stage.
Track project tasks across the Communications and Advancement teams, maintaining oversight of workflow, deadlines, and follow-up.
Manage relationships with external vendors, obtaining quotes and coordinating services such as editing, translation, printing, and mailing.
Support weekly mailroom work as needed.
Database Management and Reporting (10%)
Serve as a key resource for gift records, receipts, and reporting.
Maintain and update the organization’s donor database, ensuring accuracy and completeness of donor information, contributions, and contact history.
Generate reports and data insights to support stewardship, campaigns, and strategic planning.
Perform other duties as assigned.
Essential Qualifications
Committed to the mission and vision of the RCA.
At least three years experience in project management coordination.
At least three years experience in providing executive support and assistance at a senior level.
Advanced skills in office computing applications including Microsoft Word, Excel, Outlook and PowerPoint. Must be able to create spreadsheets; manage databases; and prepare presentations, reports, and documents.
Ability to travel 20-25 days annually.
Ability to use and understand new software such as Salesforce and Concur.
Strong organizational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.
Proven abilities to do basic financial management skills.
Excellent writing and verbal communication skills.
Ability to be self motivated, work independently with minimal direction and collaboratively within a team environment.
Desired Qualifications
Experience in an advancement/fundraising office.
Bachelor’s degree in Business Administration or related field.
Experience with Salesforce or other related donor database systems
Experience working in a mailroom setting, understanding of the US postal system as well as international mailing.
Hybrid Position Expected 2-3 days per week in the Grand Rapids based office with 1 day being Wednesdays.
