About Studio James
Studio James is a luxury interior design firm based in the Vail Valley, specializing in refined, mountain-modern residences that balance sophistication and livability. We’re seeking a Studio Coordinator & Field Design Assistant to provide hands-on support across our design studio, project sites, and client experiences.
This role supports our remote design team and Principal Designer, ensuring daily operations, logistics, and client interactions run seamlessly. We’re looking for a doer — someone who thrives on action, enjoys variety in their workday, and takes pride in building and maintaining strong relationships with clients, vendors, and collaborators.
Key Responsibilities
- Office & Studio Support
- Restock office supplies, beverages, and snacks to maintain a welcoming environment.
- Continue organizing and cataloging the studio’s fabric and finish inventory.
- Maintain and update the materials library, including developing a virtual or digital tracking system.
- Review and document voicemails, ensuring timely follow-up.
- Confirm shipments and deliveries, upload photos of received items, and coordinate returns or UPS shipments.
Client & Project Support
- Prepare for client presentations and in-person meetings (set up samples, materials, and refreshments).
- Attend meetings as note-taker and assist with setup or teardown.
- Conduct small-scale installs (e.g., placement of furnishings or accessories).
- Meet subcontractors on site for measurements, walkthroughs, or vendor visits.
- Document site conditions — take clear photos of progress, finishes, and layouts.
Claims & Vendor Coordination
- Visit receiving warehouse or vendor locations for in-person inspections related to claims.
- Meet with repair or service technicians on site to review issues and coordinate resolutions.
Personal Errands
- Assist the Principal Designer with occasional local errands (e.g., deliveries, appointments, or pickups).
Install Preparation
- Maintain and organize the install bag and supplies, ensuring readiness for upcoming installations.
- Verify all install materials are properly labeled and documented.
Ideal Candidate
- A doer who takes initiative and ownership, naturally anticipating what needs to be done.
- Flexible and adaptable, able to shift comfortably between studio, site, and client-facing tasks.
- Enjoys variety and feels energized by a mix of creative and logistical work.
- Skilled at building relationships with vendors, clients, and teammates; polished, approachable, and dependable.
- Organized, detail-oriented, and proactive in follow-through.
- Comfortable supporting a remote team while serving as the in-person point of contact for the Principal Designer.
- Strong written and verbal communication skills.
- Able to lift 50 lbs and transport small furnishings, samples, or materials as needed.
- Reliable vehicle and valid driver’s license required.

- Team Days — We value collaboration. While much of this role is independent, the Studio James team meets in-person monthly for strategy sessions, team-building, and studio planning. Attendance and engagement in these sessions are an important part of staying connected to the broader vision.

Our schedule can shift with client timelines, site conditions, and installs — so flexibility and follow-through are key. We’re a small, fast-paced luxury design firm, and we need someone who shows up with focus and pride in their work, even when the hours vary week to week.
- Small Business Mindset — We’re a close-knit, 2–3 person team where everyone wears multiple hats. The right person enjoys working in a collaborative small-business environment and finds satisfaction in contributing wherever needed.
- Tech Skills — Proficiency with Adobe Acrobat, Microsoft Word, Excel, PowerPoint, and Outlook is required. Bonus points for familiarity with digital organization tools like Dropbox or Ivy/Houzz Pro.
- Communication Skills — Excellent written and verbal communication skills, with the ability to collaborate professionally with designers, vendors, and clients. A clear speaking voice and polished presence are essential.
- Attention to Detail — A sharp eye for detail and quality control — from presentation setup to product delivery — ensuring everything meets Studio James’s elevated standards.
- Physical Capability — Ability to lift up to 50 lbs when required during installations or site work.

Schedule & Compensation
