Job Title Event Planning Manager
Job Overview The Event Planning Manager is responsible for coordinating events while ensuring high level services to the customer from pre to post event. This role manages large scale events at the hotel, including solicitation of new business, handling inquiries, booking and detailing sales and event groups. The manager identifies opportunities to maximize revenue through up‑selling and offering enhancements. Close collaboration with Hotel Sales Managers, banquet & food & beverage operations, and other hotel staff ensures a seamless experience for guests. Primary sales efforts focus on Banquet Food & Beverage and Meeting Room Rental, with duties such as menu planning, agenda setting, hotel meeting services, hospitality amenities, and special VIP requests.

Essential Functions
Ensures events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
Handles both local catering and group sales bookings.
Prepares diagrams and meeting space designs to execute events and maximize space.
Ensures billing accuracy and conducts bill reviews with customers prior to final billing.
Manages group meeting spaces and function room blocks for assigned groups.
Identifies operational challenges associated with groups and develops alternative solutions.
Integrates current trends in event management and event design with good judgment.
Partners with banquet and F&B operations to execute events.
Acts as liaison between field salespersons and customers throughout the event process.
Participates in customer site inspections and assists with the sales process as needed.
Solicits feedback from property departments to identify improvement areas.
Develops strong community and public relations through participation in local, regional, and national tradeshows and client events.
Participates in sales calls with Sales and Marketing to acquire new business.
Forecasts group sleeping rooms and event revenue.
Assists in sales process and revenue forecasting for customer groups and events.
Supports the General Manager by coordinating crisis communications.
Works with HR, Engineering, and Loss Prevention to ensure compliance with regulations and union requirements.
Performs other duties as assigned to meet business needs.
Executes and supports Service and Brand Standards.
Provides exemplary customer service to drive satisfaction and loyalty.

Proficient in Microsoft Office applications
Previous experience as a Catering & Events Manager, Event Planner, or Supervisor (preferred hospitality industry)
Valid driver’s license and ability to operate a vehicle
Physical Demands
Requires long periods of sitting, repetitive hand and finger use, extended computer use, phone use, reaching with hands and arms, stooping, kneeling, crouching, walking, climbing stairs, talking, and hearing.
Regularly lifts up to 10 pounds, frequently up to 25 pounds, and occasionally up to 50 pounds.
Requires effective use of close, distance, and color vision.
Must operate in mentally and physically stressful situations.
Qualification Standards
High school education required; college education preferred.
Prior experience in event planning in a hotel setting required.
Volume catering and meeting event experience required.
Ability to lead and motivate a team effectively.
