This position fulfills two roles: Social Media Coordinator and Administrative Assistant. As the Social Media Coordinator, the individual disseminates information and messaging to further the City’s mission and objectives. The Social Media Coordinator writes, develops, edits, photographs, and produces videos, and furnishes content for social media, the City website, media relations, and public relations for West Haven City.

As an Administrative Assistant, the individual performs routine and complex clerical duties and customer service functions as needed to assist and support the general public and West Haven City staff.

Supervision

Received: Works under the direct supervision of the City Manager and City Recorder.

Essential Duties

Social Media

Writes, develops, edits, photographs, videos, and otherwise furnishes content for social media, the City website, media relations, and public relations for West Haven City. This effort includes scheduling and organizing time‑sensitive messages and meeting deadlines.

Is the primary source for identifying and posting community news and updates such as events, road closures, policy changes, breaking news, etc.; celebrates milestones, fun facts, success stories, uplifting updates, City events, City services.

Creates honest, compelling, engaging, and informative content to be shared primarily on social media. Ensures that the content aligns with the City’s social media objectives.

Gathers social media content by attending City meetings and events and coordinates with Department Heads.

Uses social media campaigns that increase engagement, build community, and inspire action.

Ensures that all posts and publications follow the City’s "City Use of Social Media" policy as contained in the City’s Personnel Policies and Procedures Manual.

Enhances the City website by creating engaging content and monitors the City website to ensure content is current.

Is responsible for producing a monthly newsletter, which involves gathering content from City staff and officials, and editing the provided material into a cohesive and professional‑quality newsletter.

Manages and executes a social media calendar, including event promotion, results, milestones, and sponsorship fulfillment for the City. Works with West Haven City stakeholders to post and publicize the calendar of events.

Establishes a sense of trust with the community, responds to followers’ comments and questions, and seeks to clarify potential misinformation relating to the City on social media platforms.

Monitors local Facebook groups and what is being shared and responds when appropriate.

Proactively seeks opportunities to engage residents and influencers.

Works with other content creators (videographers, photographers, press officers, and photo services) to curate and deliver content on social platforms and identify tactics for deployment.

When authorized, utilizes paid media campaigns to grow followers, engagements, and brand awareness.

Fully and quickly cooperates when asked to remove content by the City Manager and City Recorder when the supervisor deems the contents violate the City’s social media objectives or as determined by their sole discretion.

Monitors and reports to City officials on relevant data and other metrics, including engagement, views, sentiment, etc.

Seeks and evaluates opportunities on emerging social platforms and evaluates emerging features on existing platforms.

Assists with management of digital archives.

In coordination with City leaders, provides information to the public during a crisis.

Assists the Mayor and City Council with rib on cuttings, luncheons, and other events.

Assists the Special Events & Grant Coordinator and works closely together to assist each other in fulfilling their essential job functions, particularly in duties such as Special Events.

Other duties as assigned.

Administrative Assistant

Performs confidential secretarial and clerical functions for West Haven City; types administrative material and correspondence, including reports, letters, memos, special documents, etc.; composes correspondence, reports, statements, memoranda, annual reports, and other material requiring judgment as to content, accuracy, and completeness.

Assists the City Manager, City Recorder, and Department Heads with appointments and other special assignments.

Assist the City Manager, City Recorder, and Department Heads with general office functions and daily processes.

Perform other duties as assigned.

Knowledge, Skills & Abilities

Knowledge of public relations and media relations, web management and design; social media platforms, mobile applications, computer software, including word processing, desktop publishing.

Media production, communication, and dissemination techniques and methods. This includes alternative ways to inform and entertain via written, oral, and visual media.

General office practices and procedures, methods, techniques, and equipment.

Correct English usage, spelling, and vocabulary.

City policies and procedures.

Operating a personal computer and Microsoft products.

Adobe Creative Suite, which includes Photoshop, Premiere, Acrobat, and InDesign programs, and web development.

Photography and videography.

Typing skills and keyboard/mouse skills required.

Proficient in Microsoft Office Suite.

Letter and report composition, grammar, spelling, and punctuation.

Interpersonal communication skills and telephone etiquette.

Basic public relations.

Use prudent judgment in representing the City and its interests.

Work independently, make proper decisions, and use initiative and common sense.

Education & Experience

A high school diploma or equivalent; AND

A bachelor's degree in public relations, communications, journalism, or another similar field; AND

One (1) year related experience in public relations, communications, journalism, a business, professional, or governmental office; OR

The City may consider any combination of education and experience that would likely provide the required knowledge, skills.
