Job Description Summary

Supports and assists the Community Manager in overseeing the financial and operational facets of the community by completing accounting and bookkeeping tasks, producing monthly reports, processing invoices, collecting rent and fees, performing bank deposits and reconciliations, and using the property management software to record and report all financial activity.

Responsibilities

  • Completes the daily financial transactions by collecting and posting rent, fees, and other payments; prepares daily bank deposits, reconciles bank accounts, and processes invoices and payables.
  • Operates the property management software (Yardi/OneSite) and ensures all required fields are entered correctly and backups completed to maintain data integrity.
  • Reviews resident files and accounting records to determine unpaid or late fees, communicates with residents regarding outstanding balances, implements delinquency collection procedures, and enforces leases to maximize revenue.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtains community manager approval, codes charges to the appropriate Chart of Account, and manages communication among the vendor, accounting, and the client/owner as needed.
  • Follows the company’s established procedures for evictions, including proper notice, evicting residents, and representing the community in court hearings and eviction proceedings.
  • Processes resident move‑outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, and managing the disposition in accordance with established procedures and legal requirements.
  • Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve service issues.
  • Assumes the role of on‑site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks with the maintenance supervisor, and managing the operation of the community in compliance with company policies, procedures, and business practices.
  • Assists in managing the client/owner relationship by meeting with owners, conducting community tours, providing updates and performance information, and responding to owner requests as needed.

Physical Demands

  • Requires standing, walking, or sitting for extended periods and the ability to bend, stoop, climb ladders, reach, carry objects, and crawl in confined areas.
  • Must work inside and outside under all weather conditions (rain, snow, heat, hail, wind, sleet).
  • Must push, pull, lift, carry, or maneuver weights of up to 25 pounds independently and 50 pounds with assistance.
  • May require travel to assist other properties, attend training sessions, business meetings, or other duties as needed.
  • Must work a flexible schedule, including evenings, weekends, and holidays as required.

The hourly range for the position is $23.00 – $25.00.

Additional Compensation

  • Corporate Positions: In addition to base salary, may be eligible for a quarterly or annual bonus program based on individual and company performance.
  • On‑site Property Positions: In addition to base salary, may be eligible for weekly, monthly, or quarterly bonus programs.
