Job Description Summary

The Access Services Manager, under the direction of the Associate Director for Access & Collection Services, manages the Access Services Department of the Library. Hours are typically: Tuesday – Saturday (Tues-Fri 7 am to 4 pm and Saturday 11 am to 8 pm), exceptions to the schedule are expected for holidays and university related breaks and scheduling.

Job Description Responsibilities:

65% Primary responsibility for planning, coordination, and administration of the Access Services Department, which includes circulation; resource sharing services including interlibrary loan and document delivery; course reserves; web-based services; stacks maintenance, collection inventory, and use of meeting facilities. Duties include, but are not limited to: hires, trains, monitors, directs, and evaluates the work of Access Services personnel to ensure quality, adherence to policies and procedures, accuracy and productivity, and a collaborative working environment.

Plans and supervises the orientation and in-service training of Access Services personnel and holds routine staff meetings to ensure consistent delivery of library access services.

Establishes expert user knowledge of the ILS system to oversee the library's online circulation, reserve, and inventory subsystems and train staff effectively.

Responsible for maintaining comprehensive knowledge of all interlibrary loan policies and procedures (local, state, and national).

Compiles data needed to assess effectiveness of access services and prepare reports as directed.

Maintains effective relationships with library staff and Tarleton community, disseminates information to promote use of both traditional and web-based services and projects a positive image of services and staff.

Maintains detailed, accurate, and timely user records, including library fines, patron notifications, fine collection, and library hold requests.

Maintain statistics relevant to the department, including TexShare usage, gate count and people count as well as monitoring other stats required within the Access Services Department.

Collaborates with technology staff, Associate Director, and Cataloging staff regarding integrated library system issues, inventory, and database maintenance.

Collaborates with the Evening Supervisor with scheduling of student workers to optimize use of allocated hours/funds and ensure enforcement of library policies.

Makes budget recommendations for Access Services. Collaborates with the Access Services staff and administration to create and execute strategic planning for services to support the goals and priorities of the library.

Maintains policy and procedure manuals for Access Services to ensure consistency of service. Enforces regulations and policies concerning the use of library materials in a fair and professional manner.

Collaborates with the Business Office, technology staff, and Associate Director to ensure successful transfer of patron fines to Texan Bill Pay and assists with troubleshooting, as necessary.

Assists Evening Supervisor with maintenance of the library’s upper and lower-level stacks.

25% Responsible for the following circulation services: Communicating and processing faculty requests for physical and electronic course reserves ensuring that Copyright guidelines are met.

Serve as a primary library contact for Texan Card, photocopier services, reciprocal borrowing, TexShare, and distance services.

Oversees the TexShare card application process both creation and dispersal of cards.

Supports Distance Learners by coordinating with Tarleton global campuses and online students’ delivery of library materials.

10% Provide reference service to users, including some morning and weekend reference duty: Assists and instructs patrons with the use of databases, reference tools, and other library equipment.

Maintains working knowledge of library equipment and troubleshoots as needed.

Makes critical decisions regarding the operation of the library using calm, logical approaches to problems and emergencies and contacting appropriate emergency University/Library personnel as necessary and ensuring the security of the facility.

Assists other library departments when staffing, and patron demand requires.

Performs other duties as assigned as well as maintaining professional development through membership on university committees and professional organizations, attendance at workshops, and community activities.

Education and Experience:

Bachelor’s degree or equivalent combination of education and experience.

Five years of related experience.

Knowledge, Skills and Abilities:

Knowledge of academic library functions at an advanced level

Comprehensive knowledge of word processing and spreadsheet applications.

Ability to multi-task. Excellent communication skills.

Ability to work independently, as a team member, and as a team leader.
