The Access Services Unit is the primary customer service unit of the Library. Access Services operations include information delivery, resource sharing, course resource services, and collection/stacks maintenance. Under the direction of the Head of Access Services, the Interlibrary Services Coordinator (ISC) manages interlibrary services operations, including supervising 2-3 FTE (equivalent to 5-9 student assistants) performing daily interlibrary processing tasks. The ISC manages workflows for borrowing materials and lending materials between libraries, creates and maintains procedural documents, recruits/trains/evaluates student assistants, and compiles monthly/yearly ILL statistics. The ISC collaborates with other Access Services staff to meet unit goals and provides reference/information services. The ISC may perform other duties as assigned. Key Responsibilities Interlibrary Services: Oversees daily ILL lending/borrowing operations; identifies and resolves issues; monitors daily RS activities; ensures compliance with UC Merced Library policies and copyright law. Procedures: Develops policies and procedures for resource sharing; maintains manuals; coordinates with Library Administrative Coordinator on billing and purchasing. Reference/Information Services: Performs bibliographic verification and provides customer service; communicates with patrons and lending institutions; ensures timely material returns. Systems: Manages ILL systems (e.g., Alma, Tipasa); coordinates upgrades and problem resolution; collaborates with UC campuses and California Digital Library. Advisory: Advises management on interlibrary services developments; contributes to policy updates; communicates with Head of Collections regarding acquisitions. Statistics: Collects and reports ILL activity on a monthly/annual basis. Student Assistant Supervision Primary supervisor for ILL student assistants; recruitment, timesheet approvals, scheduling, evaluations, and disciplinary actions. Supervises 5-9 student assistants; provides training and maintains training documentation. Prepares procedures related to Interlibrary Services and contributes to other Access Services documents. Information Services Provides basic/intermediate reference and information services in-person and online; refers complex questions to librarians as needed. Maintains communication with librarians to ensure accurate information services. Instructs patrons on how to place ILL requests and troubleshoots functions with IT/CDL support. Other Duties Local service on committees/workgroups as assigned. Project management in support of Library-wide and Access Services goals. Qualifications
Education and Requirements High school diploma and/or equivalent certification/experience. High School Diploma, GED, or equivalent. Bachelor's degree from an accredited university (Preferred). Demonstrated skills, knowledge, and abilities essential to the position. Critical Knowledge and Skills Excellent oral and written communication; strong customer service in a library setting. Discretion, confidentiality, and professional judgment. Flexibility with scheduling to meet library staffing needs. Administrative experience and standard office practices. Strong organization, prioritization, and ability to work independently or in a team. Proficiency with Windows, MS Word/Excel; database management; internet searches; email. Working knowledge of library online systems, scholarly databases, and interlibrary loan processes. Ability to work in a fast-paced environment with fluctuating priorities. Knowledge of UC Policies and Procedures; experience hiring/training/supervising student employees. Two or more years of college-level coursework or equivalent experience (Preferred).
