Job Description
We are seeking a highly organized and detail-oriented Marketing Administrative Assistant to support our growing marketing team. This cross-functional role plays a key part in the daily operations of the department, with a focus on data analysis, digital reputation management, and marketing operations. The ideal candidate will be tech-savvy, comfortable working with data and tools like Salesforce and Asana, and have strong communication skills for external engagement across digital platforms.
Key Responsibilities Data & Analytics (Estimated 20+ hours/month)
Perform daily and weekly data reconciliation tasks to identify lead sources and maintain attribution accuracy.
Generate weekly reports on appointment volumes by campaign, identifying performance trends.
Update and report out monthly average lead volumes by hour/day, categorized by type and source.
Digital Engagement & Reputation Management (Estimated 6+ hours/week)
Conduct daily social listening, responding to public inquiries, comments, and messages on social media.
Manage review responses and clinic information in online directories (GMB, Yelp, ZocDoc, etc.), and work with patient advocate team to resolve issues.
Maintain up-to-date business listings across SEO platforms like Yelp, Apple Maps, and GBP (Google Business Profile).
Help Creative team gather clinic pictures and videos for social profiles
Schedule weekly social media posts across multiple accounts
Marketing Operations & Reporting (Estimated 10+ hours/week)
Update daily dashboards to track appointments by channel and generate rolling performance reports.
Monitor project management tasks in Asana weekly, flagging overdue or at-risk assignments to leadership.
Conduct monthly audits of clinic appointment time slots to support optimization strategies.
Administrative Support (Special/Ad Hoc Tasks)
Process and submit marketing invoices to Accounts Payable in a timely manner.
Maintain and update marketing department cybersecurity practices
Qualifications Required Qualifications
Bachelor’s degree in Marketing, Business, Communications, or related field (or equivalent experience).
1–3 years of experience in a marketing, operations, or administrative support role.
Comfortable working with marketing and analytics tools (e.g., Excel, Salesforce, Google Analytics, Asana).
Strong written and verbal communication skills.
Ability to prioritize tasks across teams and maintain attention to detail.
Preferred Qualifications
Experience with customer reputation platforms (e.g., GMB, Yelp).
Familiarity with data reconciliation and report generation.
Exposure to SEO tools and digital presence management platforms.
