Primary Job Responsibilities The primary job responsibilities of the Bilingual Assistant Community Manager are to assist the Community Manager in effectively managing the property and to assume the responsibilities of the manager in their absence. The position requires a strong commitment to exceptional customer service, a keen eye for detail, and a proactive approach to problem-solving. Additional responsibilities include but are not limited to: • Assisting in employee training and maintaining accurate resident records. • Issuing notices such as late payments, evictions, returned checks, and legal notices. • Posting/scanning all rents, deposits, and fees accurately. • Managing and maintaining low delinquency rates, adhering to company policy. • Preparing and updating reports as delegated by the Community Manager. • Greeting customers, offering refreshments, selling property benefits, requesting deposits, and performing leasing functions. • Answering phones and responding professionally to calls and inquiries from customers, residents, and vendors. • Completing prospect cards, recording traffic, and following up with customers via Knock. • Qualifying customers per property guidelines and adhering to all Fair Housing/OSHA Laws. • Collecting all required new lease paperwork, fees, and deposits. • Maintaining a professional, friendly office atmosphere. • Conducting daily inspections of models, vacant units, and office appearance to ensure readiness. • Staying informed about local market trends and conditions, updating Market Survey weekly, and reviewing Apartment IQ for accuracy. • Completing the monthly marketing audit. • Accepting service requests, routing them to maintenance, and conducting follow-up with residents. • Inspecting the property to ensure it is litter-free and reporting service needs to the manager or maintenance. • Conducting pre-move-out inspections within 24 hours of scheduled move-outs and for vacant apartments. • Completing monthly resident newsletters and updating community Facebook/Instagram pages. • Planning, organizing, and overseeing resident events within budget. • Creating flyers and promotional materials for residents' functions for approval. • Collecting, tracking, and distributing packages for residents, as applicable. • Assisting in ensuring residents follow community policies. • Proposing and implementing new services to enhance residents' living experience. • Developing and maintaining a list of community resources (amenities, employment, education, social services, neighborhood services, etc.) for residents. • Collaborating with the site team to meet property needs and resolve resident issues. • Complying with all local/state laws, company policies, and OSHA/Fair Housing regulations. • Assisting other employees with management functions. • Wearing required career apparel. • Working closely with the Community Manager to understand the budget. • Performing other duties as assigned. • In the absence of the Community Manager, assuming their duties (refer to AIRM dashboard). • Returning calls/emails within 24 hours. • Performing month-end accounting procedures, auditing reports, and managing delinquency. • Preparing final account statements for move-outs and processing refunds and collections. • Generating renewal offers, letters, follow-up methods, and leases to retain residents positively. • Following incident reporting procedures to prevent liability by reporting incidents.
