Responsibilities

Responsible for community and partner event activation at Discovery Park District and Purdue Research Park-West Lafayette.

Manage the entire event process of planning, organizing, and executing events ensuring objectives are met from the initial planning stages to post‑event analysis.

Handle logistical details, manage budgets, coordinate vendors, and oversee event execution.

Build and maintain relationships with existing and perspective tenants through the Purdue Research Foundation ecosystem, including Purdue, Discovery Park District, Purdue Research Park, Purdue Railyard, and the Purdue Technology Centers.

Provide business support services to the clients of the Discovery Park District, Purdue Research Parks, Purdue Research Foundation, Purdue Railyard, and Purdue Technology Centers.

Collaboratively work with other PRF Departments, such as but not limited to, Economic Development Organization (EDO), Alliances, and Marketing and Communications.

Work closely with Carr Workplaces to promote both co‑space facilities (including Purdue Railyard) through space activation and events.

Client Relations

Manage projects between PRF and conference room vendors.

Assist with conference room management. Includes scheduling, room configuration, and IT support of technology.

Assist with marketing and social media for events in the Discovery Park District, Purdue Research Parks, Purdue Research Foundation, Purdue Railyard, and Purdue Technology Centers.

Maintain PRF amenity areas i.e. storage rooms, vending areas, conference rooms, lobby, and shared spaces.

Create promotional materials and flyers for announcements and events for PRF/Clients.

Schedule conference rooms as requested for outside groups.

Distribute building and PRP‑wide announcements as needed.

Work with Senior Manager, Real Estate & Partnerships to coordinate and facilitate orientations and onboarding processes for new tenants in PRF facilities.

Work with EDO to assist with collection of Certified Technology Park and other survey responses (CTP surveys).

Create and maintain email lists and directories for PRPWL.

Process internal and external invoices for PRPWL.

Review literature and online materials available to ensure they are current and reflective of the services provided statewide, including ensuring that orientation guides and other similar materials are current.

Community Manager

Meet with clients to understand their event needs, preferences, and budget, managing clear expectations for both sides.

Develop comprehensive event plans, including timelines, budgets, and logistics, to ensure all details are organized and executed effectively.

Identify and secure suitable event venues based on client requirements, negotiate contracts, and coordinate site visits as needed.

Source and manage vendors such as caterers, decorators, entertainers, and audiovisual technicians, overseeing contracts, payments, and performance.

Create and manage event budgets, tracking expenses and ensuring adherence to financial targets.

Coordinate event logistics, including setup, teardown, transportation, and staffing, to ensure smooth operations on event days.

Serve as the primary point of contact for clients, providing regular updates, addressing inquiries, and managing expectations throughout the event planning process.

Oversee event setup and execution on‑site, ensuring all elements are implemented according to plan and troubleshoot any issues as they arise.

Identify potential risks and develop contingency plans to mitigate them, ensuring the safety and security of attendees and minimizing disruptions.

Conduct post‑event evaluations to assess the success of the event, gather feedback from clients and attendees, and identify areas for improvement in future events.

Required Skills, Knowledge and Expertise

Must be an outgoing, customer‑focused individual who is able to work independently.

Occasional evening and weekend work.

Excellent verbal and written communication skills.

Proficiency in Microsoft Word, Excel, PowerPoint and Access.

Ability to multi‑task and handle frequent interruptions.

Ability to use good judgment, diplomacy, maintain confidentiality, and exercise discretion.

Must be a motivated, adaptable team player with the ability to exercise initiative and work well with others.

Ability to lift 50‑75 lbs (with assistance) during room setup and tear down.

Valid driver’s license required.

Required Education, Experience and Benefits Summary

Associate’s Degree in Business Administration, Communications, Hospitality and Tourism, or Event Management preferred.

One to three years of clerical experience required.

Some receptionist/front desk experience preferred.

Three to five years of customer service experience required.

Notary or the willingness to become a notary.
