Position Summary
The Executive/ Marketing Assistant will play a hybrid role, combining high-level executive support with hands-on contributions to the brands marketing, social media, and PR efforts. This unique position is ideal for someone who thrives in a fast-paced environment, has a passion for the beauty industry, and brings a creative and proactive approach to both administrative and marketing tasks.
Key Responsibilities
Executive Support
- Manage calendars, schedule meetings, and coordinate travel for executive leadership.
- Organize internal and external meetings, events, and presentations.
- Handle confidential information with discretion and professionalism.
- Prepare reports, meeting notes, and follow-ups as needed.
- Support with expense reports, invoicing, and general administrative tasks.
Marketing & Social Media
- Assist with social media content planning, posting, and community engagement.
- Coordinate with design and content teams to support product launches, campaigns, and brand storytelling.
- Monitor social trends and competitor activity; suggest opportunities to grow brand presence.
- Track and report on social media and email marketing analytics.
Public Relations & Communications
- Assist with drafting and distributing press releases, media kits, and influencer outreach.
- Maintain media contact lists and PR tracking reports.
- Coordinate with agencies and partners on PR campaigns, events, and product gifting.
- Research relevant influencers, press opportunities, and partnerships aligned with brand goals.
Office & Team Operations
- Liaise between departments and ensure smooth internal communication.
- Order office supplies, manage vendor relationships, and support team events or initiatives.
- Maintain organized digital filing systems and document management.
Qualifications
- 2+ years of experience in an Executive Assistant, Marketing Assistant, or PR/Social Media Coordinator role in the Beauty Industry.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Google Workspace, Microsoft Office, and social media tools (e.g., Later, Hootsuite, Canva).
- Familiarity with marketing platforms (e.g., Mailchimp, Shopify, Klaviyo, or similar).
- Ability to multitask and prioritize in a fast-paced, entrepreneurial environment.
- Passion for beauty, wellness, and lifestyle brands.
