About this Position We are looking for a proactive Marketing Department Assistant who enjoys being at the center of the team, managing details, and ensuring marketing goals are met on time and on budget.
Essential Responsibilities
Act as the departmental organizational anchor—coordinating meetings, preparing agendas, and ensuring follow‑up actions are completed.
Maintain the marketing department’s calendar and master schedule, tracking deadlines, campaigns, and project milestones.
Manage internal and external correspondence, routing requests and approvals efficiently.
Prepare, route, and track invoices; reconcile budgets and assist with expense reports and quarterly tracking.
Support project‑management systems (e.g., Asana, Microsoft Teams) to keep assignments current and deliverables on schedule.
Maintain organized digital and physical filing systems for marketing materials and project documentation.
Assist with onboarding and coordination for new vendors, interns, or associates.
Manage department supplies, signage, and promotional inventory, including ordering and vendor communication.
Coordinate travel arrangements and logistics for marketing events, conferences, and photoshoots.
Draft professional internal communications, recaps, and meeting summaries.
Support the Capital City Bank Group Foundation with file management and donation tracking.
Aid internal and community events through coordination and onsite participation.
Track progress of key marketing initiatives to ensure deliverables and deadlines are met.
Assist with campaign execution, creative asset coordination, and proofing cycles.
Update and manage templated advertising and collateral to ensure brand accuracy.
Act as liaison to internal business partners on marketing requests, events, and internal promotions.
Support the creation of monthly and quarterly marketing reports summarizing department performance.
Help manage overall organization of brand materials, ensuring consistent and compliant usage.
Qualifications
1+ year of related professional experience
Excellent verbal and written communication skills
Proficiency in Adobe Acrobat and Microsoft Office Suite
Availability to work 40 hours per week, plus occasional overtime
Reliable transportation to the Tallahassee office and to occasional off‑site events
Ability to pass a criminal background check, credit check, and drug test
Ability to learn and adhere to banking standards
Practice discretion with confidential client information at all times
Commit to the non‑negotiable Banker Standards and SGNNT (smile, greet, name, name, thank you)
