Proposal Coordinator Reporting to the Proposal Manager and working closely with the Marketing and Relationship Management teams, the Proposal Coordinator supports White Construction’s Strategic Plan and Relationship Management Annual Goals & Objectives. This role focuses approximately 80% on proposal and interview development—coordinating pursuits, leading, developing, and preparing compelling proposals and presentations, and supporting project teams through interview preparation—and 20% on traditional marketing, event planning, and asset management alongside our Asset Manager. The Proposal Coordinator plays a key role in achieving business development goals and advancing company‑wide pursuit efforts.

Responsibilities

Support and coordinate the full pursuit and proposal lifecycle—from reviewing RFQs/RFPs to developing, preparing, and submitting final proposals for all offices (Austin and Houston, TX; Ridgeland, MS; and Panama City Beach, FL) under the guidance of the Proposal Manager.

Participate in pursuit strategy and kickoff meetings to develop win themes and ensure alignment with client goals.

Review RFP/RFQ requirements to ensure compliance and alignment with submission criteria.

Gather, source, and integrate content from technical teams into cohesive, persuasive, and visually compelling proposals and presentations.

Coordinate technical content, manage design/layout, and maintain brand consistency across all deliverables.

Develop and prepare interview presentations and associated materials, including slide decks, visuals, and supporting documents.

Coordinate with project teams to ensure interview readiness, organizing logistics and materials to support successful presentations.

Facilitate mock interviews, provide constructive feedback, and participate in internal and external debriefs to continuously improve performance.

Collaborate with cross‑functional teams to gather and synthesize information for cohesive and strategic proposal content.

Use proposal management tools to assist with scheduling, task assignments, and content tracking.

Maintain accurate pursuit data and marketing content in CRM and content management systems.

Marketing, Events, and Asset Management

Support the Senior Marketing Manager, Proposal Manager, and Marketing Assistant with the development and maintenance of marketing materials, including resumes, project sheets, photography, references, graphics, and other marketing assets, and assist in the maintenance of OpenAsset.

Manage and organize marketing libraries and templates to ensure consistency and accessibility of content.

Collaborate with the Relationship Management and Marketing teams on promotional materials, press releases, social media content, brochures, and website updates, ensuring alignment with White Construction’s values and strategic goals.

Support planning and coordination of project, company, and community engagement events such as groundbreaking ceremonies and client appreciation functions.

Participate in the marketing committee to align initiatives with company‑wide strategies.

Serve as a marketing point of contact for internal team inquiries, building relationships with leadership, business development, and technical staff.

Coordinate with external vendors and consultants for production of marketing materials and event support needs.

Education and/or Certifications

Bachelor’s degree in marketing, communications, or a related field preferred.

5+ years of relevant experience in a similar role.

Proficiency in relevant software tools, including Adobe InDesign, Photoshop, Word, Excel, and PowerPoint.

Experience with CRM software (Unanet preferred).

Experience with OpenAsset (preferred, but willingness to learn is a requirement).

Excellent verbal and written communication skills.

Strong organizational, time‑management, and multi‑tasking abilities in a deadline‑driven environment.

Self‑starter with a positive, enthusiastic, and results‑driven attitude.

Ability to develop and maintain effective relationships with stakeholders.

Experience in marketing or business development within the AEC industry is a plus.

Ability to create visual concepts that effectively communicate ideas.
