Taylor Hall## Pay Grade:Professional## Job Description:The Dean's Executive Assistant and manager of events and engagement provides high-level administrative, and strategic support to the Dean and serves as a key liaison between internal and external partners, including faculty, staff, students, students, alumni, donors, and industry partners. This position ensures the efficient management of the Dean’s daily activities, including complex calendar coordination, correspondence, communication and meeting preparation, while leading the planning and execution of events and engagement initiatives that advance Dean’s priorities and strengthen stakeholder relationships.40% Executive Support & Communication: Manage and optimize an active and complex and dynamic calendar, including prioritizing meetings, resolving schedule conflicts; Review, prioritize, and respond to incoming correspondence and emails; draft or prepare professional communications on behalf of the Dean as appropriate; Exercise sound judgment, discretion, and confidentiality in handling sensitive and institutional matters; Serve as a trusted liaison between the Dean and college or university departments, faculty, staff, students, and external stakeholders.30% Dean's Engagement: Coordinate high-level meetings with internal and stakeholders including drafting agendas, preparing briefing documents, presentations, and taking minutes. Handle sensitive and confidential information with discretion and professionalism, ensuring timely preparation of materials.25% Event Management: Lead the planning and execution of events hosted by the Dean’s Office, including advisory council meetings, faculty and staff recognition events, donor receptions, student award ceremonies, and special university functions; Collaborate with college advancement, communications, and academic affairs teams to ensure events and initiatives align with the Dean’s strategic priorities and the college’s engagement goals; Oversee all event logistics including invitations, RSVPs, venue coordination, catering, décor, audiovisual needs, and printed materials; Manage event budgets, vendor contracts, and procurement processes in compliance with university policies.5% Support special projects, initiatives, and other duties as assigned by the Dean.Minimum Qualifications:Bachelor's degree and 1 year of experience supporting executive-level leadership in a fast-paced environment. Proven experience managing complex calendars and high-level correspondence.Preferred Qualifications:Bachelor's degree and 5+ years of experience.
