About the Role The Event Producer at ONTHEMARC HQ is responsible for the end‑to‑end planning, coordination, and execution of a diverse range of events that align with the company’s brand and strategic goals. This role blends creativity with operational precision – requiring a visionary professional who can manage multiple projects simultaneously while ensuring seamless delivery and exceptional client and guest experiences. Minimum Qualifications Bachelor’s degree in Event Management, Marketing, Communications, or a related field. Minimum of 3 years of professional experience in event production, catering, or hospitality management. Demonstrated success managing multiple large‑scale or high‑profile events from planning to execution. Excellent interpersonal skills to collaborate effectively with diverse internal and external stakeholders. Preferred Qualifications Experience in a fast‑paced agency or hospitality group environment. Certification in event planning or project management (e.g., CMP, PMP). Familiarity with Cvent, Eventbrite, or similar event management platforms. Knowledge of current trends in event design, technology, and experiential marketing. Responsibilities Generate proposals, BEOs, invoices, and contracts using Tripleseat. Maintain client communication from booking through event completion, managing expectations and confirming all logistics. Develop and manage comprehensive event plans, including timelines, budgets, and resource allocation. Coordinate all production needs post‑booking with consideration for venue look, feel, and décor. Create floor plans, Run of Show documents, staffing position sheets, and packing lists to ensure organized and accurate event execution. Coordinate and source all rentals, ensuring they align with OTM’s brand and quality standards. Liaise with outside vendors and partners to secure necessary services and materials. Schedule and conduct tastings for current or prospective clients. Accompany Sales Managers on client walk‑throughs and support them in advancing event sales. Maintain strong client relationships throughout the planning process and beyond, ensuring an exceptional experience. Proactively manage repeat client relationships and request post‑event reviews across relevant platforms. Partner with vendors and rental companies for timely deliveries, pickups, and event setups. Represent ONTHEMARC with professionalism and diplomacy in all client and vendor interactions. On‑Site Event Management Serve as Event Captain for assigned events or provide clear, detailed communication and materials to the Captain responsible for day‑of execution. Oversee setup, execution, and breakdown, ensuring adherence to timelines, design standards, and client expectations. Troubleshoot any on‑site challenges with composure and efficiency. Administrative & Operational Support Provide clerical, record‑keeping, and office support as needed. Collaborate with Operations and Culinary teams to ensure accurate pack‑outs and returns. Support process improvements and contribute to team‑wide best practices for efficiency and client satisfaction. Participate in post‑event evaluations to analyze outcomes and identify opportunities for improvement. Skills & Tools Proficiency in Tripleseat , Nowsta , Prismm , and Google Suite (Gmail, Calendar, Sheets, Docs). Strong command of Microsoft Office and digital communication tools. Excellent organizational, written, and verbal communication skills. Proven ability to manage multiple complex projects under tight deadlines. Keen eye for detail, design, and logistics. Strong leadership and team coordination abilities, with a client‑first mindset. Creative problem‑solving skills with adaptability in fast‑paced environments.
