Design Assistant & Operations Coordinator
We’re looking for a detail-oriented Assistant & Operations Coordinator to help keep our design projects, vendors, and studio operations running smoothly. You’ll bridge project support and administrative execution, ensuring every task, order, and communication moves forward with accuracy and momentum.
This role is ideal for someone who loves structure, organization, and proactive problem-solving. You’ll work closely with leadership, our remote team, and trade partners to manage timelines, budgets, and deliverables while keeping systems streamlined and clients supported.
This is a growth-oriented position
— for the right candidate, there is a clear path into a Project Manager role. As you master operational and procurement workflows, you’ll gradually take on greater ownership of project coordination, client communication, vendor relationships, and site management.
Key Responsibilities Project Coordination
Maintain project plans, timelines, priorities, and dependencies in Asana
Coordinate vendors, contractors, and deliveries
Track risks, lead times, and change orders
Prepare client status updates, meeting agendas, and project summaries
Support leadership in client meetings and ensure follow-through on action items
Draft proposals, scopes, and budgets; track approvals and report variances early
Oversee installations, punch lists, site work, and close-out activities
Conduct quality control on Studio Designer entries, flag and correct errors
Perform root cause analysis on recurring issues and update SOPs/checklists
Operations & Administration
Manage inbox triage for info@ inbox organization
Handle calendar management, meeting scheduling, and vendor calls
Enter data in Studio Designer: items, POs, confirmations, and attachments
Order samples, track shipments, confirm deliveries, and maintain sample inventory
Request standard vendor quotes, follow up on open items, and maintain vendor database
Receive and route invoices; perform basic 3‑way match with PO and delivery
Keep studio organized, oversee daily reset checklist, mail, and utility management
Prepare draft presentations in Canva and maintain organized shared folders
Qualifications
2+ years in project coordination, operations, or studio administration
Strong command of Asana (or similar project tools) and Studio Designer preferred
Excellent written and verbal communication skills
Highly organized, process‑driven, and comfortable managing multiple priorities
Proactive, dependable, and resourceful, you anticipate needs before they arise
