Baird Holm LLP is seeking an enthusiastic, organized, and tech savvy

Event Planning and CRM Marketing Coordinator

to join our marketing team. This dynamic team, working with the Marketing Director, manages advertising placements, brand management, event planning, digital and print communications, podcast and video production, website management, and public relations for our nationally recognized law firm.

Event Planning

Acts as project manager to coordinate all logistics of Baird Holm hosted events, forums, client-facing webinars, and business development events from concept through execution; manages and communicates the timeline for all deadlines and milestones working closely with the attorneys.

Works with the respective practice sections to identify and provide consultation about event objectives, audience, budget, venue, vendors, etc.

Ensures seamless client-facing webinars by monitoring audio/technical during live webinars.

Uploads all event registration information to the Firm website using the website's content management system.

Identifies and develops all related communications, including website promotions, invitations, event materials, signage, social media, other advertising, etc.

Coordinates the development of the invitation list, working with the attorneys and their staff to ensure lists are accurate and in the CRM system; manages invitation distribution and RSVPs.

Coordinates and maintains strong working relationships with venues, event contacts, AV vendors, and site vendors.

Assists with the production of presentation materials, books, signage and other event materials, as needed.

Coordinates the approvals for CLE for all events with our CLE Coordinator.

Contact Relationship Management (CRM)

Oversees and acts as the expert and champion of the Firm's Client Relationship Management (CRM) system, with support from the Information Systems (IS) department.

Manages and schedules the training for new staff and attorneys; creates training tools and tips.

Creates and schedules regular ongoing training for all users to ensure sufficient knowledge to use application.

Manages general maintenance of the system:

Acts as a resource to the staff and attorneys as needed, using each opportunity to reinforce skills and educate.

Assists with data entry/clean‑up for large scale business development efforts.

Monitors and resolves duplicate entries; manages returned mail; notifies staff and/or attorneys as necessary.

Performs regular audits of data; works with respective staff/attorney to perform cleanup, when needed.

Identifies, documents, and communicates new processes/best practices that increase efficiency and value of the system.

Stays abreast of industry/system updates and developments, acts as the expert for the Firm's CRM system, processes, training and communications through ongoing self-training.

Provides assistance for other marketing efforts and support needs of the department as requested.

Education and Experience

Bachelor's degree in marketing, communications, or related field is strongly preferred; candidates with a minimum of 3 years of related experience will be considered.

Experience in CRM software and database management; experience with website content management systems (CMS).

Excellent oral and written communication skills; ability to write press releases, web copy and other communications.

Strong project management skills with meticulous attention to details; ability to work independently and manage multiple tasks at once.

Strong computer skills with intermediate knowledge of Microsoft Office applications including Excel, PowerPoint, and Outlook.

Ability and willingness to learn other software programs used by the Firm.

Interpersonal skills necessary in order to maintain effective relationships with attorneys, team members, staff and clients.

Possess a professional image and the ability to represent the Firm in a positive, business‑like manner both internally and externally in the business community.

Proactive, enthusiastic, adaptable, and action oriented.

Working Conditions

Professional office environment.

Must be able to sit and work at desk and on a computer for extended periods of time.

Position requires four days attendance in the office; currently, one work‑from‑home day allowed per week, subject to Director approval.

Position requires 40 hours/week to perform essential duties; from time to time there may be additional hours, including evening and weekend hours.

Must be able to provide own transportation to/from main workplace and local businesses in the community as needed.
