Senior Event Producer – PRA Business Events

Primary Responsibilities

  • Logistical management and operational execution of client events and programs, including complex programs for high profile accounts with budgets ranging from $500K to $1M+.
  • Primary contact for the client during pre‑planning and operation of the program post‑sale, ensuring client satisfaction and account retention.
  • Meet with Sales to review program details, serve as primary client contact after contract.
  • Manage program changes during pre‑planning and on‑site, negotiating and up‑selling.
  • Responsible for managing the expected gross margin.
  • Order, confirm and re‑confirm all suppliers, negotiate and contract terms‑of‑service and price, guarantee cancellation policy, billing information, directions, etc.
  • Ensure deposits are received as contracted and billing completed.
  • Determine field staff work assignments based on program schedule and staffing needs.
  • Prepare and distribute trip sheets and other program information for field staff.
  • Participate in recruiting and training field staff.
  • Coordinate and process all field staff paperwork, including compensation, timesheets, expense reports, pay rate changes.
  • Maintain inventory of staff uniforms and equipment, coordinate purchases as needed.
  • Complete all program production paperwork (trip sheets, check requests, service agreements, invoicing, job costing, expense reports).
  • Assist Experience Designers with program development per client specifications.
  • Manage cost preparation, program summaries, deposit invoices, service agreements and related correspondence.
  • Forward program information to hotel and venue representatives for seamless coordination.
  • Conduct pre‑con meetings with client/hotel to review all confirmed program details.
  • Keep regional and global sales managers fully informed of all opportunities and program changes, taking corrective action when necessary.
  • Model teamwork and collaboration, setting a standard for professionalism and operational excellence.
  • Develop and implement process improvements to enhance program operations.
  • Facilitate training and professional development initiatives for Event Producers in collaboration with leadership.
  • Lead department meetings and assign programs in leadership’s absence.

Qualifications

  • Bachelor’s degree or equivalent relevant experience.
  • 4+ years of experience overseeing corporate meetings, client events and complex programs (DMC, corporate incentive travel, hospitality or related). Highly preferred.
  • Proven ability to lead operations functions, supervise, develop, and mentor field staff.
  • Excellent interpersonal and communication skills with diverse clients, suppliers, coworkers and employees.
  • Demonstrated success in analyzing contracts, financial reports, and complex legal documents to mitigate risk and ensure profitability.
  • Skilled at presenting information and responding to questions from clients, suppliers, and hoteliers.
  • Ability to multitask and manage multiple programs with competing deadlines.
  • Comfortable working with all levels of management, hotel and venue staff, clients and suppliers.
  • Deep local market knowledge of attractions, hotels, parks, venues and supplier partners; ability to locate and vet new venues and partners.
  • Flexible and able to work evenings, weekends and holidays as needed.
