POSITION SUMMARY The primary responsibilities of the Artist Services Coordinator are to serve as the liaison and hospitality coordinator for visiting artists in Arizona Musicfest’s Annual Concert Series of over 50 performances. Additionally, the Artist Services Coordinator will assist Operations Manager and Director of Concert Operations with logistics, set‑up, and execution of Musicfest’s Music Alive! series (over 300 lifelong learning and creative aging events produced at the Musicfest headquarters) and for Musicfest’s various activities for young musicians.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Represent Arizona Musicfest in a professional manner, serving as the primary point of contact for hospitality‑related activities including, but not limited to, greenroom setup, catering, and scheduling needs for artists during their residencies.
Communicate effectively with artists and/or artist representatives in advance of performance to ensure backstage preparation prior to artist arrival.
Greet and assist assigned guest artists during their tenure with Musicfest, serving as primary point of contact for requests, concerns, and schedule adherence.
Track, coordinate, and facilitate contract rider fulfillment, including hospitality, meal/catering coordination, complimentary tickets and any other special requests.
Facilitate meal planning, ordering, plating and presentation for both performing artists and Musicfest staff on performance days.
Interpret hospitality rider to use Musicfest funds to effectively purchase backstage supplies (snacks, soft drinks, etc.) for artist use and effectively account for the costs.
Help facilitate itineraries for guest artists, including load‑ins, rehearsals, sound‑checks, meet‑and‑greet events, CD signings, etc.
Create a hospitable environment in the back‑of‑house area(s) where artists feel welcomed, appreciated, and respected.
Track and facilitate appropriate inventory of hospitality amenities, including water, towels, toiletries, and miscellaneous supplies.
Serve as back‑of‑house coordinator during preshow activities, liaising with artists and Musicfest staff to ensure timeliness of performance start.
Assist with artist stage entry and egress at start of performance, intermission, start of second act, and end of show.
Other duties as assigned.
REPORTING This position reports to the Director of Concert Operations and works in direct collaboration with the Director of Community Operations, Operations Manager, and other key staff.
DESIRED CHARACTER TRAITS Arizona Musicfest seeks an individual who is enthusiastic, engaging, compassionate, organized, effective in communications, and capable of managing artists, tour managers, and affiliated staff. The ideal candidate should be capable of interpreting an artist rider and adapting it to the capabilities of both Arizona Musicfest and Musicfest’s partnering venues.
DESIRED QUALIFICATIONS
Prior experience in a non‑profit organization is preferred, though not required.
Ability to work a flexible schedule including evenings and weekends during organization’s concert season, as well as occasional special events.
Strong verbal and written communication, organizational, problem‑solving, writing and computer skills.
Ability to work well independently as well as to collaborate with others.
Must be able to lift and carry 25 pounds and perform physical activity.
Ability to successfully handle multiple priorities in sometimes high‑stress situations.
Experience in musical arts, including ability to read music and comfort with both musical and associated technical vocabulary, is strongly desired.
