Overview

The Marketing Systems Specialist is responsible for optimizing the technology ecosystem that powers marketing operations, enablement, and learning. This role combines system administration, data governance, change management, and analytics to ensure tools and platforms within this ecosystem operate efficiently and deliver valuable, data-driven, insights. Working closely with the Marketing Operations Manager, cross-functional teams, and vendors, this position is responsible for supporting daily platform management, overseeing the deployment of system enhancements, and developing dashboards to facilitate strategic decision-making. Responsibilities

System Support & Administration

Serves as the primary administrator and point of contact for assigned platforms [e.g., Content Management Systems (CMS), Learning Management Systems (LMS), Customer Relationship Management (CRM”), Sales Enablement, Work Management, etc.] Manages user access, permissions, and configurations to maintain compliance and security. Partners with IT and vendors to resolve technical issues and support system integrations. Leads quarterly governance reviews for each system, ensuring data cleanliness, folder structure, and tagging standards. Supports testing and rollout of new features, integrations, or system updates. Content & Data Management

Maintains content libraries within CMS, Sales Enablement, and LMS platforms, ensuring assets are up to date and properly tagged. Supports content uploads, metadata structure, and version control aligned to governance standards. Conducts regular audits to ensure accuracy and eliminate outdated materials. User Support & Enablement

Serves as the first point of contact for user support, onboarding, and troubleshooting. Develops and maintains user documentation (guides, FAQs, SOPs, etc.). Creates and delivers new user onboardings and quarterly training sessions for business units. Gathers user feedback and translate it into system improvements. Process Improvement & Optimization

Identifies inefficiencies and recommends workflow enhancements across systems. Partners with stakeholders to document standard operating procedures (SOPs). Participates in testing and rollout of new features or integrations. Collaborates with the Marketing Operations Manager on workflow improvements within Work Management Platforms and project management tools. Data Analysis & Reporting

Develops and maintains usage dashboards across systems. Creates quarterly performance reports showing adoption, turnaround times, and key metrics. Supports leadership with ad hoc data analysis across marketing tools. Uses Power BI or similar tools to visualize efficiency and performance trends. Cross-Functional Collaboration

Partners with Marketing Managers, Sales Enablement, and Multimedia to ensure tools align with business needs. Shares user feedback and analytics to inform system roadmaps. Represents the Marketing Operations team in vendor calls and internal project meetings. OTHER DUTIES AND RESPONSIBILITIES

Requirements

Bachelor’s degree (B.S./B.A.) from a four-year college or university in Marketing, Business, Data Analytics, or related field; three (3) to five (5) years’ experience in marketing operations, systems administration, or analytics; or an equivalent combination of education and experience. Demonstrated work experience and proficiency in the following is required:

Marketing Enablement platforms (e.g., Highspot, Hubspot, Wrike, C2CRM, etc.) or LMS platforms. Business Intelligence (BI) tools (e.g., PowerBI, Tableau, etc.), with a demonstrated understanding of how to perform data analysis and visualization. Microsoft Office (Excel, Outlook, PowerPoint, Word), with an intermediate level of skill in creating and managing complex worksheets in Excel. Working knowledge of SQL or Excel-based data modeling is preferred.

Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus while using a computer and reviewing marketing collateral.
