Job Description Alumni Affairs and Development is a dedicated team supporting Harvard’s advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.

AA & D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA & D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).
As a member of the University Business Solutions team, this full-time, non-exempt position will coordinate, execute, support, and report on a variety of email marketing campaigns across Alumni Affairs and Development (AA & D). The coordinator is responsible for the set-up, testing, deployment, and reporting for an assigned portfolio of email campaigns. The coordinator will also monitor email deployment request timelines and communicate with email stakeholders regarding requirements, status, and deadlines.
Job‑Specific Responsibilities
Build emails in Salesforce Marketing Cloud for assigned projects using standardized templates and processes.
Coordinate with internal stakeholders and partners on email project requirements, delivery of assets, and production timelines.
Perform Quality Assurance testing on emails to ensure content accuracy, proper rendering across email devices and browsers, and link functionality.
Coordinate, prepare, upload, and test subscriber lists and test lists required for email deployments.
Facilitate stakeholder proofing of emails, process edits and feedback from reviewers, and coordinate final approval process.
Schedule email deployments, confirm scheduling with stakeholders, and monitor deployments for completion and deliverability.
Generate and distribute post‑deployment metrics to email stakeholders as needed.
Monitor overall email deployment calendar in relation to assigned email projects to ensure optimal email frequency and cadence.
Troubleshoot and resolve any issues that arise relating to email creation, deployment and delivery.
Provide guidance to stakeholders on available email functionality and best practices.

Qualifications Basic Qualifications:
A minimum 2+ years’ experience in nonprofit marketing, communications, administration or transferable experience.
You will be expected to work certain events/campus activities, such as reunions each Spring, and participate in department retreats that are taking place on campus in Cambridge, MA.
Understanding of email marketing best practices and anti‑SPAM law compliance.
Experience with Email Service Provider tools. Preference given to experience with Salesforce Marketing Cloud.
Experience with HTML/CSS and image editing tools.
Proficient in Microsoft Excel.
Additional Qualifications and Skills:
Bachelor's degree preferred.
Must exhibit exceptional attention to detail and can produce high-quality work in a fast‑paced environment.
Ability to manage multiple, concurrent projects from a variety of stakeholders.
Successful experience working under tight deadlines.
Must be motivated to learn, flexible to change, and innovative.
Ability to effectively communicate with stakeholders at various levels.
Must be creative and proactive yet disciplined, discriminating and able to streamline work volume to maintain bottom line efforts in midst of multi‑tasking and daily re‑prioritizing, with manager’s guidance.
Must have excellent organizational skills.
Proficiency with MS Office required. Experience with SQL, Toad, ADVANCE and Qlikview and other Business Intelligence technologies desirable.
