As a Marketing Budget & Project Coordinator, you’ll play a key role in supporting our Marketing organization’s operational excellence through budget tracking, project coordination, and data analysis.
You’ll collaborate across teams— including Finance, Creative, and Demand Generation—to ensure our marketing investments are planned thoughtfully, managed effectively, and reported accurately. What you’ll do:
Assist with monthly and quarterly budget tracking, forecasting, and reconciliation for marketing programs and campaigns
Partner with Finance and internal stakeholders to process invoices, POs, and accruals accurately and on time
Maintain up‑to‑date budget documentation and ensure alignment between forecast and actual spend
Build and update reports that track spend, ROI, and performance metrics across campaigns and business units
Analyze spend trends to identify opportunities for efficiency and process improvement
Support leadership with budget dashboards and quarterly planning reports
Manage timelines, deliverables, and task dependencies within ClickUp
Partner with cross‑functional teams to ensure campaign milestones are achieved and resources are aligned
Help maintain project intake forms, reporting templates, and communication channels to keep teams connected and accountable
Support the continuous improvement of marketing operations by identifying gaps, recommending solutions, and documenting best practices
Contribute to annual planning efforts by preparing spend summaries, forecasting models, and project performance data
Advance NAVEX's goals and operational effectiveness by learning and using AI‑based tools
What you’ll need:
Bachelor’s degree in Marketing, Business, Finance, or a related field
2+ years of experience in budget management administrative support, preferably in marketing
Proficiency in Excel or Google Sheets, with experience analyzing and visualizing data
Familiarity with project management tools such as ClickUp (preferred), Asana, or Monday.com
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills, with attention to accuracy and follow‑through
A proactive, collaborative mindset and a drive to create order and clarity in complex processes
The desire to learn, explore and experiment with AI tools
A commitment to ethical and inclusive use of AI in our hiring and workplace practices
