Department Weill Music Institute Title of Position Coordinator, Weill Music Institute Reports to Chief Education Officer & Director, WMI; Additional supervision by Senior Director of Operations, WMI Summary Carnegie Hall seeks to fill the position of Coordinator, who provides specialized personal assistant support to the Chief Education Officer & Director, and general support to the Weill Music Institute more broadly. Responsibilities Manage Chief Education Officer & Director’s calendar, including making appointments, scheduling meetings, creating guest lists, and sending reminders. Arrange travel, meals, and other logistics for Chief Education Officer & Director and other staff. Greeting and host meeting guests and other visitors. Support other Directors’ calendars as required. Prepare agendas and minutes for key meetings. Facilitate effective communication and collaboration between the Chief Education Officer & Director, Weill Music Institute, and other internal departments. Collect offsite event calendars and manage those entries in Artifax. Coordinate room bookings at the direction of the Education Production team. Order and facilitate catering deliveries for large events. Support artist and guest travel arrangements for key projects. Handle logistics and scheduling for department-wide staff meetings and events. Perform other related duties and special projects as assigned. Assist with and attend performances and events as needed. Qualifications Ability to multi-task, to meet deadlines and to coordinate activities of an active department Ability to remain calm, focused, and positive in a high-paced environment Meticulous attention to detail and excellent organizational skills Excellent writing, editing and proofreading skills Outstanding interpersonal skills and telephone demeanor with an eye towards customer service Must demonstrate excellent verbal and written communication skills; and have ability to exercise excellent judgment, and diplomacy in all interactions.
