Position Summary
The overall purpose of this job is to provide circulation, interlibrary loan, inter‑campus loan, billing, physical course reserves, and general reference services to all library patrons. This position uses Alma, the integrated library system, to support circulation, maintain the reserves collection, and create catalog records for new technology items; uses WorldCat to manage interlibrary loan services, shares responsibility for the maintenance of the print‑format collection, and upkeep of office printers and other equipment.
Essential Functions
40 % Circulation – Services at the Circulation Desk
- Use Alma to check books/materials/technology in and out, help patrons locate specific items, and update patron records.
- Issue borrower’s cards to community patrons.
- Explain circulation policies and procedures, exercising good judgement to make exceptions when appropriate; suggest improvements.
- Handle patron complaints, referring to a supervisor as needed.
- Answer directional and general information questions and refer patrons needing professional assistance to librarians.
- Record patron interactions using SpringShare’s LibInsight form.
- Assist staff at all library locations with circulation technical procedures and policy questions; provide ongoing support and training.
- Open and close the library during specified hours and secure equipment.
- Adapt to Alma releases, new versions, and learn new processes quickly.
- Complete incident reports for security and safety issues.
- Assist with service desk coverage for other employees’ planned and unplanned absences.
- Perform clerical duties such as filing, answering phones, and making copies; maintain supplies for the circulation desk.
20 % Interlibrary and Intercampus Loans
- Coordinate borrowing from other libraries and lending of our materials.
- Use WorldCat to process and maintain requests.
- Prepare items for shipment and receive returned items.
- Ship materials via Firefly courier and USPS, avoiding ILL fees.
- Process intercampus loan requests from other Pellissippi State campus locations; pack, ship, receive, unpack, and process returns.
- Remain current with technology requirements and apply new knowledge and processes.
10 % Physical Materials Maintenance
- Sort and shelve library materials.
- Train student workers to regularly shelf, straighten, and dust the collection.
- Adjust material placement to utilize space effectively.
- Assist with annual physical materials inventory.
- Search for items reported missing per established procedures.
- Process materials for withdrawal from the collection.
- Change location codes for moved materials.
10 % Library Equipment & Supplies
- Maintain the building security system, inspect, clean, and report repairs.
- Maintain an inventory of office supplies (batteries, cables, travel cases, etc.).
- Withdraw obsolete or damaged technology items from the catalog and follow procedures for surplus.
5 % Library Statistics
- Report interlibrary loan statistics to the Circulation Librarian.
- Prepare additional reports as needed.
10 % Student Workers
Act as backup for training student workers and assist in supervising student assistants.
5 % Reserves Collection
- Add materials to the reserves collection using Alma.
- Retrieve items from the physical collection for faculty requests; create and delete brief catalog records.
- Withdraw materials from Alma when returned to instructors.
- Organize, shelve, and inventory reserves materials.
As Needed
Provide backup for the Circulation Librarian, Circulation Specialist, and Campus Library Assistants at all campuses.
Required Experience
- An Associate’s Degree required; Bachelor’s Degree preferred.
Skills & Abilities
- Customer service experience.
- Proficiency with Microsoft Office (Word, Excel).
- Library experience, preferably in a public‑facing position.
- Excellent grasp of the English language (speaking and writing).
- Specific knowledge of library circulation and inventory processes; understanding of the circulation modules of the integrated library system, Library of Congress classification, OCLC ILL system, and general library organization and practices.
- Ability to read and understand complex, multi‑step written and oral instructions.
- Ability to work and communicate effectively, handle frequent interruptions, and adapt flexibly.
- Organization, detail‑orientation, and ability to work well in a busy, changing environment.

Physical Demands
Position requires bending, stretching to reach shelves, lifting 1–15 lbs, pushing loaded book trucks over 100 lbs, using a computer monitor and keyboard, communicating with patrons at the circulation desk and over the phone, and reading call numbers.
Hazards
Repetitive motion injuries from checking in/out and moving quantities of books. Possible foot injuries from books falling from shelves or book trucks; potential wrist, leg, and foot injuries from tipping book trucks. Minor cuts and abrasions are moderate probability; serious injuries are very low when safe procedures are followed.
