OVME Aesthetics is seeking a Studio Coordinator to join our studio team in Bethesda, MD. As the first point of contact for our clients, you will play a vital role in delivering exceptional client service and ensuring a positive experience.

Key Responsibilities

  • Create an unrivaled customer experience for all clients.
  • Welcome and greet clients warmly, ensuring a positive first impression.
  • Provide outstanding service by addressing client inquiries, scheduling appointments, and promptly resolving concerns.
  • Manage the appointment booking system, ensuring accurate scheduling and optimizing studio resources.
  • Collect client information, update medical history forms, and maintain confidentiality of client records.
  • Assist clients with completing necessary forms and consent documents, explaining their purpose and ensuring understanding.
  • Answer phone calls, respond to emails, and handle general inquiries regarding services, pricing, and policies.
  • Maintain a clean and organized front‑desk area, including reception, waiting room, and product displays.
  • Process client payments, verify insurance information when applicable, and provide receipts or invoices as required.
  • Coordinate with clinical and administrative staff to ensure smooth workflow and efficient client care.
  • Implement and maintain office policies and procedures for efficient front‑desk operations.
  • Manage inventory of office supplies, placing orders to maintain adequate stock levels.
  • Stay knowledgeable about services, treatments, and promotions to provide accurate information to clients.
  • Handle confidential client information with discretion, adhering to privacy regulations.
  • Assist with marketing efforts, such as distributing promotional materials and gathering client testimonials.
  • Perform additional administrative tasks as assigned by management.

Skills, Knowledge, & Expertise

  • Exceptional written and verbal communication skills.
  • Ability to thrive in a fast‑paced, customer‑service‑oriented team environment.
  • Experience managing social media.
  • Capacity to work independently with minimal supervision.
  • Strong sense of ownership and urgency.
  • Extremely detail‑oriented, self‑starter, and passionate about learning.
  • Strong organizational skills and ability to multitask in a fast‑paced environment.

Education and Experience

  • Bachelor’s degree or comparable industry experience preferred.
  • Medical CRM/Zenoti experience is a plus.
