Who we are looking for This is what you will do The Marketing Operations Specialist will support the commercial marketing team in the planning and execution of key brand initiatives, with a primary focus on project management for launch readiness, logistic and final delivery planning for print production and logistical coordination of scientific congresses and key meetings. This role will also participate in special projects, as needed, across the US AIR Marketing team. This role is ideal for a highly organized, proactive team player who thrives in a fast-paced, cross-functional environment and is looking to further development their marketing skills. The Specialist will work closely with marketing, medical affairs, communications, patient advocacy, and marketing operations to ensure that launch activities and congress participation are seamlessly executed, compliant, and on time.
You’ll be responsible for:
Project & Launch Coordination
Support planning and execution of brand launch deliverables across functions (marketing, communications, medical, payer, patient advocacy, etc.).
Develop and maintain project trackers, timelines, and status reports; proactively flag risks and dependencies.
Partner with the agency of record (AOR) in the delivery of key launch projects.
Schedule and facilitate cross-functional meetings, capture notes and decisions, and ensure follow-through on next steps.
Manage vendor requests, ensuring deliverables align with timelines, budgets, and brand standards.
Coordinate marketing material submission and tracking through internal review systems (e.g., Veeva PromoMats).
Support PO creation, invoice processing, and budget tracking for assigned projects.
Support special projects, as needed.
Congress & Scientific Meeting Support
Coordinate planning and logistics for national and regional scientific and professional congresses, including booth registration, exhibitor services, shipping, and onsite staffing.
Partner with internal stakeholders (marketing, medical, corporate affairs) and agencies to ensure seamless preparation, execution, and post-congress reporting.
Track deadlines for abstract submissions, poster logistics, and congress deliverables.
Support development and management of congress calendars, booth schedules, and onsite collateral.
Manage vendor communications, contracts, and post-event reconciliation.
Serve as an onsite lead or support representative during select congresses.
Marketing Operations Support
Assist with execution of promotional and non-promotional materials, including digital and print assets, ensuring timely review and approval.
Coordinate material print, production and distribution to field teams and vendors.
Help manage document control, content versioning, and process documentation.
Provide administrative support for brand meetings, vendor onboarding, and ad hoc marketing initiatives.
You will need to have
Bachelor's degree in marketing, Communications, Business, or related field.
2–4 years of professional experience, preferably in pharmaceutical, biotechnology, healthcare communications, or a related regulated industry.
Experience coordinating large-scale projects, events, or cross-functional initiatives.
Strong project management and organizational skills with keen attention to detail.
Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook) and project management tools (e.g., Smartsheet, Asana, MS Project).
Excellent written and verbal communication skills.
Proven ability to handle multiple priorities and meet deadlines in a fast-paced environment.
Team-oriented with a proactive, solution-driven mindset.
Demonstrated understanding of compliance principles related to marketing and events in a regulated industry.
We would prefer for you to have
Experience supporting congresses, conferences, or corporate events.
Familiarity with Veeva PromoMats or similar content management/review tools.
