Job Title: Part-Time Event Planner
Overview: NPA is preparing for two major events in 2027—a national professional conference and a fundraising gala—and is seeking an experienced event planner to lead all aspects of event strategy and execution.
Location: Remote (Must reside in Louisville, KY)
Hours: 15–20 hours per week
Start Date: January 2026 (planning for 2027 events)
Position Overview
The Part-Time Event Planner will work remotely, leading the planning, coordination, and execution of the Neuroplasticity Alliance’s 2027 “Build a Better Brain” Fundraising Gala and 2027 National Conference in Louisville, KY. The role requires local residency for vendor meetings, site visits, and onsite event management.
This is a part‑time position (15–20 hours per week) with a multi‑year timeline, ideal for an organized, proactive planner who wants flexible hours and excels at long‑range project execution.
Key Responsibilities
Event Planning & Management
- Lead full‑cycle planning for the 2027 Neuroplasticity Alliance Fundraising Gala and National Conference.
- Develop event themes, concepts, agendas, and schedules.
- Research, select, and manage venues, caterers, decorators, AV teams, exhibitors, and other vendors.
- Build and manage project plans, timelines, and milestones.
- Coordinate speaker and presenter logistics for the conference.
- Conduct in‑person site visits in Louisville as needed.
- Support development of sponsorship packages and donor engagement strategies.
- Coordinate with the fundraising team to secure event sponsors, donors, and partners.
- Assist with gala fundraising initiatives, including silent auctions, donor cultivation, and VIP experiences.
Budget & Logistics
- Create and maintain detailed event budgets.
- Oversee registration systems, ticketing platforms, and attendee communications.
Communications & Marketing Collaboration
- Work with internal teams and contractors on event branding and promotional materials.
- Provide content and logistical support for marketing campaigns and outreach.
Qualifications
- Required:
- Proven experience planning national professional conferences.
- Proven experience organizing nonprofit fundraising events or galas.
- Strong project management and long‑range planning skills.
- Excellent communication, negotiation, and vendor‑management abilities.
- Ability to work independently and collaboratively.
- Availability of 15–20 hours per week.
- Residence in Louisville, KY (remote work, with local duties as needed).
- Reliable personal transportation for local meetings and event days.
- Preferred:
- Knowledge of healthcare, neuroscience, or neurology sectors.
- Experience in mission‑driven or science‑focused organizations.
- Familiarity with event management platforms.
