Grant Writer & Systems Coordinator (bilingual) 1 day ago Be among the first 25 applicants must be a country where we operate, have an office and/or registered state Department: Program Generated Revenue (PGR) Supervisor: VP of Grants & Partnerships Type: In-Office, Hybrid or Remote, Full-Time JOB PURPOSE The Grant Writer & Systems Coordinator is a fast-moving, detail-oriented professional who thrives in a high-volume, deadline-driven environment. Working closely with the Director of Strategic Partnerships and the Director of Program Compliance, this role ensures that Living Water International (LWI) can keep pace with the rapid flow of new funding opportunities by delivering compelling written products and maintaining the grant management systems that fuel acquisition and retention. This position is equal parts writer and systems builder: drafting proposals, concept notes, and reports that capture donor attention, while also keeping Salesforce and other tools accurate, up-to-date, and optimized for pipeline growth, grant management and donor retention. Success in this role means staying in step with the PGR team’s velocity - ensuring no opportunity slips through the cracks and every submission shines. CORE CHARACTERISTICS Honor God Develop People Be Good Stewards KEY TASKS AND RESPONSIBILITIES Proposal Writing & Donor Communication Draft concept notes, proposals, LOIs, donor correspondence, and reports that are crisp, compelling, and aligned with LWI’s mission. Partner with the Director of Prospect & Acquisition and National Philanthropy Group to advance new opportunities and ensure submissions are delivered with excellence and on time. Collaborate with Program, Finance, Monitoring & Evaluation, Human Resources, and Operations to gather inputs and package them into donor-ready products. Adapt boilerplate and organizational content for clarity, consistency, and competitive positioning. Track proposal deadlines, coordinate internal reviews, and secure approvals. Partner with the Director of Program Compliance to ensure required reports are compelling, accurate, and completed in a timely fashion. Support early-stage prospect research by preparing donor analyses and fit assessments. Monitor funding calendars and track deadlines, providing acquisition staff with timely intelligence. Help prepare proposal timelines and opportunity briefs to keep the team aligned. Maintain up-to-date, accurate grant records in Salesforce (or equivalent CRM) across all pipeline stages. Upload proposals, budgets, and correspondence in organized digital folders linked to Salesforce. Generate reports and dashboards that track submissions, win rates, pipeline volume, and upcoming deadlines. Ensure consistency between Salesforce, the PGR Tracker, and other systems. Systems & Process Development Collaborate with the Director of Program Compliance to refine internal tools such as proposal checklists, reporting templates, and grant dashboards. Standardize workflows across country offices and departments for greater efficiency and compliance. Help onboard and train colleagues on proposal systems and tools. Continuously suggest, test, and refine systems to keep up with the fast-moving pace of acquisition work. Internal Coordination Schedule, facilitate, and document proposal team meetings. Manage draft circulation, review cycles, and version control. Prepare executive summaries or briefing notes for senior leaders as needed. EDUCATION / EXPERIENCE / SKILLS Bachelor’s degree in International Development, Communications, Public Administration, or related field. 2–4 years of experience in grant writing, proposal development, or donor communications. Proven ability to work in a fast-paced, deadline-driven environment. Strong (English & Spanish) writing and editing skills for technical and non-technical audiences. Experience with Salesforce or other CRM systems. Exceptional organizational skills, attention to detail, and ability to manage multiple projects simultaneously. It’s great, but not required, if you have: Knowledge of WASH, global health, or international relief and development. Familiarity with institutional donor requirements (private foundations, USAID, GIZ, UN, etc.). Proficiency with Microsoft 365, Box, and data visualization tools. Experience working cross-culturally with global teams. Background in workflow design, process improvement, or knowledge management.
