Arklign is hiring an Event & Marketing Coordinator to support our growing education programs, customer engagement initiatives, and brand presence. This role is responsible for coordinating a wide range of events—including CE courses, webinars, lunch & learns, trade shows, and internal team activities—while also supporting core marketing operations. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple projects and deadlines in a fast-paced environment. As the Event & Marketing Coordinator, you will oversee event logistics from planning through execution, collaborate with vendors and partners, maintain marketing assets and communication workflows, and ensure consistent branding across all touchpoints. You’ll work closely with our education, marketing, and leadership teams to deliver polished events, professional materials, and a seamless experience for clients, partners, and employees. Key Responsibilities

Event Coordination

Plan, organize, and coordinate logistics for all Arklign events including CE courses, webinars, lunch & learns, trade shows, networking, and community events. Plan and coordinate internal office social events, employee celebrations, and team-building activities. Coordinate travel arrangements including flights, rental cars, lodging, and shipping of event materials. Manage catering orders, food coordination, and event setup/cleanup. Oversee event registration, RSVPs, payments, attendee lists, and post-event surveys. Ensure CE compliance documentation, certificates, renewals, and reporting are properly handled. Coordinate raffles, giveaways, and swag inventory. Capture event photos and videos for marketing use. Support technical setup such as audio/video, presentations, and webinar platforms. Marketing Coordination

Initiate and coordinate with dental institutions, organizations, and associations to secure lectures, presentations, and speaking opportunities. Serve as liaison between designers, vendors, and management to align branding and design schedules. Maintain and update mailing and contact lists. Work with and organize vendor contact lists to build and maintain Arklign’s contact database. Coordinate and collect sponsorships from vendor partners for events and programs. Collaborate with vendors to cross-promote events and educational programs. Coordinate bulk mail services and print production with outside vendors. Manage Eventbrite pages, email campaigns, and promotional communications. Track and report marketing spend against budget. Maintain organized marketing folders, SOPs, and checklists for recurring workflows. Support creation and editing of PowerPoint, Canva, and Prezi presentations. Administrative & Cross-Functional Support

Maintain the overall event and marketing calendar. Prepare materials, packing lists, and shipment coordination for events and travel. Assist with on-site logistics, setup, and teardown during events. Collaborate closely with the education and management teams to ensure alignment with company goals and branding. Document workflows and maintain updated standard operating procedures (SOPs). Skills & Qualifications

Highly organized, detail-oriented, and proactive with strong time-management skills. Excellent written and verbal communication skills. Ability to multitask across projects with varying deadlines. Experience coordinating logistics, vendors, and event planning preferred. Proficiency in Microsoft Office, Canva, PowerPoint, Prezi, and Eventbrite. Knowledge of email campaign tools (Mailchimp, Constant Contact, etc.) a plus. Graphic design coordination or production experience preferred. Valid driver’s license with ability to travel occasionally. Schedule, Growth, & Compensation This role will start as a part-time position (approximately 20–25 hours per week) to support Arklign’s immediate event and marketing needs. As our programs, customer engagement, and event volume continue to scale, there is strong potential for this position to transition into a full-time role based on business needs and performance. The expected hiring compensation for the part-time schedule is $35–$40 per hour, depending on experience and skillset.
