Intake & Marketing Coordinator
to join our Operations & Clinical Services team and support our continued growth.
Position Summary The Intake Coordinator is the first point of contact for prospective families and referral partners. This role requires strong communication skills in both Spanish and English and at least one year of experience in intake, outreach, or marketing within the ABA or healthcare fields. The Intake Coordinator will manage inquiries, guide families through the onboarding process, maintain referral relationships, and ensure a seamless and efficient intake experience.
In addition to core intake responsibilities, this position will also support marketing efforts and participate in activities designed to increase client referrals and strengthen community awareness of our services.
This is a full-time, hybrid position with required in-person days in either our Rockville and/or Frederick, Maryland clinic locations. Local travel may be required throughout Central Maryland for community outreach, referral meetings, and additional marketing activities.
Responsibilities
Serve as the primary contact for new families and referral sources.
Conduct intake phone screenings, gather insurance information, and clearly explain the ABA onboarding process.
Guide families through documentation, assessments, and scheduling needs.
Maintain ongoing communication with families to ensure smooth transitions into services.
Track and follow up on inquiries, waitlists, and referral sources.
Build and maintain relationships with pediatricians, daycares, schools, early intervention programs, and community partners.
Participate in targeted outreach efforts, including community events, internal marketing projects, and resource development.
Collaborate with all departments to ensure caseload availability and timely onboarding.
Maintain accurate data within intake logs, CRM systems, and company databases.
Assist with insurance verification and documentation preparation as needed.
Coordinate with the authorization team to ensure timely preparation and submission of authorizations for new and existing clients.
Support projects aimed at improving the intake experience, marketing materials, and family communication workflows.
Support clinical team members by providing interpretation and assisting with communication for Spanish-speaking families as needed.
Qualifications
Bilingual fluency in Spanish and English (verbal and written) required.
Minimum 1 year of experience in intake, outreach, or marketing within the ABA or healthcare fields.
Strong understanding of ABA services, insurance processes, and family support needs.
Exceptional communication, customer service, and organizational skills.
Friendly, energetic, and engaging demeanor, ability to quickly build rapport and create a welcoming first impression for families and referral partners.
