Position Summary MRM is seeking an Experiential Marketing Coordinator to support a team in seamlessly delivering a series of programmatic and one‑off Microsoft B2B events, both virtual and in‑person. Microsoft has been one of MRM’s longest‑standing clients. The role requires strong organization, communication, and proactivity, allowing the successful applicant to take initiative and leverage resources without constant direction.

Role Overview As an Experiential Marketing Coordinator supporting Microsoft, you will join a team of Marketing Coordinators to plan, coordinate, and execute the client’s marketing events, initiatives, and campaigns. You will deliver a range of digital and/or in‑person events.

Responsibilities

Play a highly involved, visible, and supporting role in planning and delivery of a high volume B2B programmatic event series.

Schedule and manage events in accordance with program guidance.

Consult on available event platforms.

Ensure event visibility and accuracy in the event dashboard (EMC).

Request necessary IDs to track events and ensure accurate spend attribution.

Request event setup and registration page build in line with program guidance.

Manage transactional communications (registration confirmation, reminder communications, etc.).

Manage registrations, waitlists and accessibility requests.

Manage travel, gifts & hospitality (TG&H) approvals for public‑sector attendees.

Request POs for event services on behalf of the FTE PO owner where agreed with local compliance.

Identify scenarios where approvals are required and act as a consultant to ensure compliance and raise tickets.

Confirm post‑event emails are sent.

Act as Project Manager for on‑site events, coordinating agencies and stakeholders to ensure on‑time execution.

Manage event updates (e.g., changes to timing, speaker details).

Collate event assets (decks, videos, etc.) and upload to required platforms.

Coordinate and brief speakers and manage dry‑runs.

Coordinate production and review of VTT files and digital video production delivery.

Manage platform‑specific configurations.

Act as Event Producer or Moderator where applicable.

Provide logistical chat moderation support for digital events in alignment with program requirements.

Coordinate logistics, catering and AV requirements with agencies or Microsoft facilities.

Manage on‑site set‑up and take‑down, check‑in and catering.

Raise support requests to resolve issues in line with defined processes.

Source necessary supplies (e.g., booth, branding elements, privacy signage).

Ensure all event registration captured in the event dashboard and complete post‑event communications.

Manage post‑event lead uploads where applicable.

Provide standard post‑event reporting leveraging global dashboards.

Generate post‑event information to measure effectiveness and improvement opportunities.

Ensure all event deliverables captured.

Compile post‑event stats, feedback and reporting.

Consult and execute using Microsoft guidelines.

Partner effectively with management across offices and disciplines.

Explore new ways to advance digital events.

Train marketers on Teams platform capabilities.

Process high‑volume data (e.g., event requests, purchase orders, contracts) accurately and timely.

Support Account Managers to deliver value in the client‑agency relationship.

Assist with reporting and program development.

Work with the best interests of the client and build a robust understanding of client business challenges.

Attend events and meetings as required; flexible working hours may be needed.

Experience and Requirements

Bachelor’s Degree preferred.

3-5 years of experience; agency experience preferred.

Experience delivering events preferred.

Strong IT skills including Excel and PowerPoint.

Interest in the technology sector and strategic knowledge of the industry.

Exceptional verbal and written communication skills, adept at communicating across all levels.

Strong organization, administration, and time‑management skills.

Ability to work as part of a team but also independently.

Ability to build and maintain strong working relationships with clients, suppliers, and agency colleagues.

Ability to participate in a team environment that facilitates mutual respect and partnership.

Ability and willingness to travel.

Resourcefulness when faced with challenges.
