About the Role We are seeking a highly organized, creative, and proactive Executive Assistant & Social Media Planner to support the Founder & CEO of ESW Beauty. This hybrid role blends executive support, personal assistance, social media planning for the Founder’s channels, and creative coordination across content, events, launches, and daily operations. This position is ideal for someone who is passionate about beauty, understands social media culture, and thrives in a fast‑paced entrepreneurial environment.

As the Executive Assistant & Social Media Planner, you will manage the Founder’s calendar, inbox, meetings, travel, and weekly priorities; oversee personal tasks and errands; plan and help produce content for the Founder’s social channels; assist with influencer and creator coordination; and support both personal and brand‑related initiatives.

Due to the dynamic nature of the role—especially around events, shoots, and content capture—this position requires flexibility and is not a traditional 9–5 job. You must be available for weeknight and weekend work as needed for content filming, events, brand moments, or urgent tasks. This role is perfect for someone with 2–4 years of experience in executive support, social media, content coordination, or operations, who wants to grow within the beauty industry and work directly with a founder.

Key Responsibilities Executive & Administrative Support

Manage the Founder’s calendar, meetings, scheduling, appointments, and weekly priorities

Assist with inbox organization, follow‑ups, reminders, and communication drafting

Coordinate travel, reservations, itineraries, and logistics for business and personal trips

Prepare meeting notes, presentations, recaps, and action items

Act as the point of contact between the Founder and internal teams

Support day‑to‑day workflow to ensure operations run smoothly

Assist with HR tasks, including conducting initial screening calls with candidates during hiring cycles

Founder Social Media Planning & Content Support

Develop weekly content calendars for the Founder’s personal channels (TikTok, Instagram, Reels, Stories)

Capture, film, and help edit short‑form videos showcasing lifestyle, behind‑the‑scenes, beauty content, and Founder storytelling

Maintain consistency between the Founder’s personal brand and ESW Beauty’s overall vision and tone

Track trends, hooks, and formats relevant to beauty, lifestyle, and founder‑led content

Organize content files, track approvals, and manage posting schedules

Personal Assistance & Lifestyle Support

Handle errands such as package returns, item exchanges, and purchasing for content, events, etc

Assist with travel prep, packing lists, and in‑person support during trips if requested

Schedule personal appointments and manage home‑related tasks, including deliveries and cleaning or organization projects

Support the founder with event planning, gifting, and special occasion coordination

Events, Shoots & Real‑Time Support

Attend events, photoshoots, retail visits, and brand activations with the Founder

Capture real‑time content and behind‑the‑scenes moments

Support last‑minute needs, logistics, or time‑sensitive tasks related to launches and campaigns

Qualifications

Bachelor’s degree in Communications, Marketing, Business, or related field

2–4 years of experience in executive support, social media, content creation, or operations

Strong organizational and project management skills

Experience filming and editing short‑form content (CapCut preferred)

Passion for beauty, lifestyle, wellness, and founder‑led storytelling

Ability to maintain confidentiality and work with discretion

Strong communication skills and a proactive, problem‑solving mindset

Comfortable running errands and completing in‑person tasks regularly

Must be based in the NJ/NYC area and able to commute to the NJ office or accompany the Founder as needed on weekdays, weeknights, or weekends

Flexible, adaptable, and comfortable in a non‑traditional schedule

Full‑Time Role

Compensation: $50K–$60K based on experience

Location: Hybrid — must be based in the NJ/NYC area with weekly in‑person work required
