Marketing Events Specialist
in New York, NY.
Marketing Events Specialist (Contract Role) Duration:

Work Arrangement:
Hybrid — three days onsite, two days remote (schedule may vary). Occasional weekend support may be required.
Location:

Pay rate:
$30 – $35/hr
About the Role We are seeking a highly organized and proactive
Marketing Events Specialist
to support a fast‑paced marketing organization. This role focuses on event execution, marketing operations, and cross‑functional coordination. The ideal candidate is detail‑oriented, reliable, and thrives in environments where logistics, communication, and follow‑through are essential.
Key Responsibilities Event Execution Support
Coordinate logistical details for North America events, including shipping, freight, tracking, timelines, and run‑of‑show updates.
Communicate with vendors for installs, tear‑downs, printing, and on‑site requirements.
Manage ordering, inventory tracking, replenishment, and post‑event returns of assets and materials.
Build and update event checklists, packing lists, and production trackers.
Support athlete travel logistics when needed (flights, hotels, per diems).
Handle credential requests, forms, insurance certificates, and compliance submissions.
Provide on‑site support: setup, breakdown, booth maintenance, product display refreshes, badge pickup, etc.
Process invoices, purchase orders, coding, and event budget tracking.
Administrative & Operations Support
Maintain event calendars, schedules, and deliverables.
Manage status updates across teams: event progress, shipping, and asset delivery confirmations.
Maintain tracking documents for events, print needs, and partner support.
Quality‑check all deliverables before routing.
Own recurring weekly tasks that keep the team running smoothly.
Event Marketing Support
Execute asset delivery (cropping, resizing, uploading, distribution).
Maintain an organized asset hub and link library for partner access.
Track partner requests and elevate issues only when necessary.
Support production of in‑store print materials (quotes, orders, specs, approvals).
Update sell‑in decks, product one‑pagers, and marketing sheets.
Pull basic reports (sell‑through snapshots, placement logs, recaps).
Coordinate retail window installs, refreshes, and in‑store event support.
Required Qualifications (Top 3–5)
2 years of experience supporting events or marketing operations.
Strong project management and logistics coordination skills.
Highly reliable with a proven ability to meet deadlines independently.
Excellent communication skills and comfort working with multiple vendors/partners.
Proficiency with Excel/Sheets, PowerPoint, shipping platforms, and basic asset management tools.
Preferred Qualifications
Comfortable providing on‑site event support with strong problem‑solving skills.
High attention to detail regarding assets, print quality, and visual displays.
Experience with creative routing, production timelines, and light design tasks (cropping/resizing).
Ability to anticipate team needs and self‑prioritize effectively.
