Assistant Community Manager Role The Assistant Community Manager oversees the daily operations and financial functions of a housing community under the supervision of the Community Manager. Core responsibilities include delinquency and rent collection, financial reporting, personnel, leasing, maintenance, and compliance with company policies, safety and fair housing guidelines, and liability considerations.
Essential Duties & Responsibilities Financial Management
Post all payments and income from applicants, residents, and non‑current residents accurately, timely, and efficiently.
Process and reconcile all accounts receivable daily.
Monitor bad debt, prepare late notices, contact residents and guarantors, and file evictions.
Help the property meet budgeted revenues, expenses, and Net Operating Income.
Post all charges to resident and non‑current resident accounts, including bill‑back of utilities where applicable.
Handle all end‑of‑the‑month closing procedures and reporting.
Maintain accurate records; audit resident files for accuracy.
Walk units and post move‑out charges, statements, and security deposit refunds.
Personnel Management
Regular daily onsite attendance is required.
Screen, hire, train, coach, and develop onsite staff consistently with company directives.
Provide ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
Promote harmony and quality performance through supportive leadership.
Ensure staff compliance with company policies and procedures.
Ensure effective leasing techniques in obtaining closures, following procedures, signing/documenting leases, and maintaining accurate reporting.
Implement marketing strategies and systems per the annual marketing plan.
Address resident complaints, concerns, and requests to ensure satisfaction.
Develop and implement resident retention programs such as resident functions, special promotions, and monthly newsletters.
Effectively show, lease, and move in prospective residents.
Administrative Management
Maintain excellent customer service and monitor service request turnaround, ensuring maintenance staff responsiveness.
Ensure property appearance and timely repairs through regular inspections and tours.
Assist with supervision of all business functions related to operations.
Plan for and use property resources, equipment, and supplies economically, obtaining bids and pricing from vendors, suppliers, and contractors.
Education & Experience
High School Diploma or equivalent; Bachelor’s degree preferred or two years experience in the housing industry; or one to two years related experience and/or training, or equivalent combination of education and experience.
Basic computer skills and understanding all onsite software functions.
Basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
Regular standing or sitting for prolonged periods; repeat hand or wrist motions; maintain accuracy, neatness, and thoroughness of work.
Frequently move around to accomplish tasks across work sites.
Occasionally ascend/descend ladders, stairs, scaffolding, ramps, step stools, and similar equipment; work in overhead positions and reach; handle objects up to 25 lbs; operate machinery or power tools; drive motor vehicles or golf carts; inspect objects; work overtime, weekends, night hours; operate in confined or outdoor spaces; manage hazardous chemicals.
