Washington Pavilion Management, Inc. (WPMI) is seeking a highly organized and detail-oriented
Marketing Production Coordinator
to support the successful execution of marketing projects across the organization. This role plays a critical part in ensuring smooth workflow, timely delivery, and clear communication across internal teams and external partners.

Position Summary The Marketing Production Coordinator serves as the operational hub of the marketing department—tracking projects, managing timelines, and facilitating communication across departments and vendors. This position is responsible for maintaining marketing schedules, organizing production meetings, and helping ensure that campaigns and materials are executed on time and in alignment with brand standards.
What You’ll Do Project Coordination & Workflow Management Manage project timelines and assignments using project management software (currently Monday.com)
Monitor progress, follow up on deliverables, and identify potential delays or obstacles
Coordinate workflow for marketing initiatives such as digital campaigns, print materials, signage, social media, and website updates
Assign and track tasks with internal staff and external partners to ensure timely completion
Schedule and lead weekly Marketing Production Meetings, prepare agendas, and document key action items
Serve as the liaison between marketing, other departments, and external vendors regarding project timelines and updates
Work closely with departments such as Guest Services, Sales, Education, Development, and Programming on project details
Partner with other project coordinators across the organization on shared campaigns and seasonal efforts
Documentation & Status Reporting Maintain accurate records of project timelines, updates, and outcomes
Communicate changes, adjustments, and progress updates to relevant stakeholders
Provide regular project status summaries and reports for department leadership
Support for Marketing Operations Assist with intake, scoping, and planning of new marketing requests
Track internal deadlines related to event launches, collateral development, and seasonal marketing efforts
Provide general administrative support and contribute to process improvement initiatives within the marketing team
What You Bring to the Table Associate’s degree required; Bachelor’s degree preferred (marketing, communications, project management, or related field)
1–2 years of experience in project coordination, marketing operations, or administrative support
Proficiency with project management tools such as Monday.com, Trello, Asana, or similar platforms
Strong organizational, time management, and multitasking abilities
Clear, professional communication skills and the ability to work effectively across teams
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Previous experience in a marketing or creative services environment is a plus
