Operate telephone to answer, screen and transfer calls, provide information, take messages and schedule appointments. Greets people entering department, determine nature and purpose of the visit and directs them to their destinations. Schedules appointments and maintains appointment calendar. Schedules hotel reservations and receives payment for same. Responsible for performing clerical and administrative functions for the department. Supports the unit renovation specialist with the model home program. Supportive of the Village’s mission, values, and service/hospitality (PRIDE) expectations. Completes training hours as required by policy. ESSENTIAL JOB FUNCTIONS Answers telephone and responds to inquiries from clients. Assess needs of clients and refers them to appropriate services available throughout the community. Transfers calls within Village, takes telephone messages for staff. Greets visitors to the community. Makes hotel reservations, takes payment from hotel guests, communicate with housekeeping and public safety. Schedules appointments for sales staff. Prepares documents, packets and assembles marketing materials for sales and marketing team. Supports the model home program and assists the move‑in team as needed. Provides information about Village, such as locations and directions. Keeps track of staff members’ whereabouts. Maintains lobby (reception area) environment for guests. Type memos, transfer sheets and census sheets, making copies to send to departments. Responsible for incoming and outgoing mail. Utilizes a variety of computer programs and equipment to perform duties. Responsible for data entry into computer systems. Completes related duties/projects as requested or assigned. Adheres to all safety regulations and requirements. Handles stress well and gets along with others within the workplace and with customers outside the department. Maintains acceptable standards of workplace conduct. The responsibilities described above represent the primary responsibilities of the job. Other responsibilities may be assigned by the supervisor as warranted by business needs. The incumbent is expected to perform all assigned responsibilities . ESSENTIAL QUALIFICATIONS Education: This job requires a high school diploma, GED or equivalent experience. Licenses/Certifications: None Knowledge and Skills

(required unless otherwise noted): Intermediate level knowledge of Microsoft Windows and other Microsoft Office programs such as Word, Excel, PowerPoint and Outlook. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple sentences, paragraphs and correspondence. Ability to speak in simple sentences. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply common sense understanding to carry out detailed but straight-forward written or oral instructions. Professional presentation of self to all visitors and associates. High level of customer service skills. Ability to effectively present information in one-on-one and small group situations to residents, family members, and other associates of the organization. Experience: Prior experience with phones, typing and general office procedures is preferred. Computer input experience required. SPECIAL WORKING CONDITIONS

Work is performed in an office setting with no exposure to extreme conditions. The employee is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. Occasional travel within the campus (either by walking or driving a personal vehicle) is required. Must be able to handle multiple interruptions and multi-task on an ongoing basis. The associate is required to function around individuals with challenged mental capacities. All associates may be called upon to assist other departments in a declared emergency situation. PHYSICAL AND MENTAL DEMANDS The physical demands described below are representative of those that must be met by an individual to successfully perform the essential functions of this job. Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires substantial use of the upper extremities and back muscles. Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling. Grasping: Applying pressure to an object with the fingers and palm. Feeling: Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips. Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly, or quickly. Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction and having the ability to receive detailed information through oral communication and making fine discriminations in sound. Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
