Job Title:
Marketing Events Specialist
Pay Rate:
$30–$33/hr
Work Hours:
40 hours/week
Start Date:
ASAP
Length of Assignment:
3/26/2025 with possibility of extension
Location:
New York, NY (Hybrid: 3 days onsite, 2 days WFH — days may vary)
Note:
Some weekend support may be required (still within 40 hours)
Key Responsibilities
Event Execution Support
Coordinate logistics for North America events (shipping, freight, tracking, timelines, run‑of‑show updates)
Manage vendor communication for installs, tear‑downs, printing, and on‑site needs
Oversee asset ordering, inventory tracking, replenishment, and post‑event returns
Build and maintain event checklists, packing lists, and production trackers
Support travel logistics (flights, hotels, per diem coordination) when needed
Handle credential requests, forms, insurance certificates, and compliance submissions
Provide on‑site support: setup, breakdown, booth upkeep, product display refresh, badge pickup
Process all invoices, POs, coding, and budget tracking related to events
Administrative & Operational Support
Maintain event calendars, timelines, and deliverables
Maintain tracking documents for events, seeding, print, and account needs
Quality‑check all deliverables before distribution
Handle recurring operational tasks that keep the team organized
Event Marketing Support
Execute asset delivery (cropping, resizing, uploading, distributing to partners)
Maintain the asset hub so partners always have current materials
Track partner requests and provide status updates
Support production of in‑store print materials (quotes, print orders, specs, approvals)
Update sell‑in decks, product sheets, and one‑pagers
Pull basic reporting (sell‑through snapshots, placement logs, activation recaps)
Coordinate retail window installs and in‑store event support with vendors and store teams
Experience supporting events or marketing operations in a fast‑paced environment
Strong project management across timelines, logistics, vendors, and tracking documents
Highly reliable and accountable; able to meet deadlines independently
Clear communicator with ability to manage multiple stakeholders
Proficiency in Excel/Sheets, PowerPoint, shipping platforms, and asset management tools
Preferred Qualifications
Comfortable working onsite at events; proactive problem‑solver
Detail‑oriented with strong quality control on assets and print materials
Experience with creative routing, production timelines, and light design edits
Ability to anticipate needs and manage priorities independently
